We are seeking a dynamic, high-energy Receptionist, who will also maintain Senior Administrative Assistant responsibilities. In this critical role you will manage the day-to-day administrative office operations and support three of our executive team members. Our ideal candidate is proactive, organized, detail oriented, friendly and thrives in a fast-paced and collaborative work environment. You will develop strong relationships with staff and leaders and ensure all external guests feel welcomed at our organization.
Serve as the first point of contact for all visitors, which may include clients, candidates, vendors, etc. Direct visitors appropriately upon arrival.
Provide support to three members of the executive team, including, but not limited to, managing calendars, arranging internal and external meetings, coordinating travel logistics, and handling team event planning.
Coordinate office-wide meetings and events (i.e. Town Halls, Board Meetings, Holiday Party, Summer Outing, etc.) including, but not limited to, submitting catering orders, securing conference room space, handling A/V set-up and conference room transitions.
Serve as calendar gatekeeper for executives, prioritizing and providing recommendations.
Review, proofread, and format communications for executives (as requested).
Assist in document management, compilation, distribution and storage.
Provide ad hoc support to the HR team, including scheduling candidate on-site interviews.
Assist with HR and executive team special projects as needed.
Answer incoming telephone calls and direct calls/messages to the proper recipients in a timely fashion.
Maintain neatness of the reception area and conference rooms to ensure tidy appearance.
Sort and distribute mail and packages.
Minimum of 2-5 years of administrative and/or receptionist experience.
Preferred undergraduate degree.
Strong organization skills and time management abilities, with exceptional detail orientation and follow through.
Ability to prioritize project work and executive support.
Demonstrates excellent verbal and written communication skills with internal and external partners.
Is self-directed and able to complete projects with limited supervision.
Has desire to interact with all departments and levels within the organization.
Enjoys problem solving and can thrive under pressure.
Possesses a “can-do” attitude and willingness to assist with tasks outside of core responsibilities on as needed basis.
