Design and Operations Manager Job Description
Short Term Rental Management
- Oversee recruitment, retention, and supervision of the cleaning staff and maintenance teams including lawn care, and handyman services.
- Train and maintain standards with monthly check ins
- Communicate daily with cleaning staff to confirm their schedules and completions
- Create rotation of deep clean items in all units and ensure this rotation is being carried out
- Ensure laundry areas and storage areas are being monitored and properly kept
- Visit each property monthly or bimonthly to observe necessary repairs or maintenance issues
- Communicate with AirBNB or VRBO regarding issues that arise
- Maintain strong interactions with guest and investigate problems reported
- Review pricing each week and evaluate lowering prices at three week intervals
- Evaluate check in procedures and ensure each property has a hidden key
- Ensure paper products and consumables are always in stock, set up systems for restocking
- Create contract for cleaners
- Ensure HOT are paid on time (Brenham and Bryan)
Scheduling and Organization
- Maintain order and organization in the warehouse
- Keep logs of where furniture, signs, and lockboxes are distributed
- Schedule movers for furniture and staging in coordination with agents
- Identify furniture pieces that need repairs or cleaning
- Coordinate selling or donating pieces that no longer in service
- Coordinate installation and storage of construction signs where applicable
Client Communications and General Support
- Oversee timely client communications each month
- Order and occasionally design various client touch points
- Coordinate delivery of client gifts
- Manage database of clients information and keep up to date with their information
- Distribute or coordinate tenant gifts and closing gifts
- Other duties as assigned such as returns, events, personal errands
Agent Operations
- Draft all listings in MLS systems
- Coordinate photography appointments, payments, and uploads
- Organize and execute investor appreciation event in the spring and referral dinner in the fall
- Support social media campaigns
- Conduct other business as needed
- Support leadership requirements such as sponsor communication or event coordination at the office
- Draft draw requests for construction projects
- Onboard new construction projects with lending paperwork and client support
- Schedule showings as needed
- Hire showing assistants as needed
Staging, Photography, and Listing Prep
- Conduct the setup of staging
- Organize the movement of the furniture
- Coordinate with contractors/agent on the move dates
- Facilitate the move
- Style the furniture
- Order the photography
- Attend photography when needed
- Install lockbox
- Install for sale sign
Design
- Create the design template being used for each house
- Make slideshow for client
- Create the floorplan using software provided
- Visit job sites to ensure plans are progressing as expected
Other
- Assistant level agent support
- Some personal errands
- Other duties as assigned
Hours
Approx 30 hours per week
Firm M-F 9-1pm
Occasional nights and weekends
Occasional afternoons
Partial Work From Home (approximately 50%)
2 weeks vacation
5 sick days
Base Salary
$24k + Commission (projected $1-2k per month - current YTD $8250 design commission)

Physical Demands
Some work is on construction sites in various conditions and weather, occasional lifting of furniture (will have movers for large items), some job sites are viewed during hazardous conditions like open sewer lines or pests, driving for long periods on occasion
Skills
Ability to communicate proficiently and professionally with clients, strong technology skills, desire to learn about construction, knowledge of design aesthetic and trends, independent mindset and willingness to learn new things
Other requirements
Texas Driver License, smart phone with camera, computer, vehicle, must have regular child care (if applicable), Spanish language is a plus but not required

While significant portions of the job are Work From Home, children are not allowed on any job sites
