Great Opportunity to be the Right Hand to the CEO of a Boutique Real Estate Company. You will be a trusted advisor and gatekeeper to the CEO. This position consists of day-to-day responsibilities that demand a high level of confidentiality, trust, and discretion.

ESSENTIAL FUNCTIONS

Administrative Responsibilities

  • Assist Chief Executive Officer in personal business transactions/communications
  • Screen incoming phone calls, take detailed messages, assist callers redirect and/or direct client emergencies/complaints to the proper personnel, check voicemails
  • Monitor, screen, and respond to incoming mail, faxes, and documents of important, sensitive, or confidential nature
  • Provide all necessary appointment information
  • Prepare and formalize business materials, i.e. correspondence, proposals, letters, memos, forms, and spreadsheets.
  • Conduct research, collect, compile, and analyze data from various sources for use by Chief Executive Officer. Prepare related reports and documents.
  • Prepare, organize and facilitate meetings
  • Book all travel for Chief Executive Officer and staff when necessary

Fiduciary Responsibilities

  • Handle monetary management for petty cash, family/staff, credit cards
  • Assist with all Banking; maintaining and reconciling checking accounts for multiple companies, handle wire transfers
  • Assist in Portfolio Management
  • Prepare and process expense reports
  • Prepare and pay personal bills
  • Handle life insurance & trust matters for Chief Executive Officer and family

EDUCATION and/or EXPERIENCE

Bachelor’s degree

10+ Years’ Administrative Assistant experience

KNOWLEDGE, SKILLS & ABILITIES

  • Strong Financial acumen (understanding of Bookkeeping, Portfolio Management & Financials)
  • Proficient with tools such as Outlook, Advanced Excel, Word, PowerPoint
  • Excellent verbal and written communication skills
  • Ability to multi task
  • Works independently and within a team environment

Job Type: Full-time

Salary: $75,000.00 to $85,000.00 /year

Experience:

  • Financial/Bookkeeping: 5 years (Required)
  • Executive Assistant: 8 years (Required)
