Administrative Assistant (Marketing and Fundraising)

Primary function: The Administrative Assistant provides broad and varied support to the Senior Vice President of Development and Marketing and the SERV Foundation Directors. This is an excellent opportunity for an individual who has strong organizational and communications skills to gain experience in fundraising, event and volunteer management, and marketing.

Duties and responsibilities:

  • Assists with donor prospect research; manages database of donor information
  • Maintains accurate donor/prospect records and giving histories: generates reports as needed
  • Maintains accountability of restricted gifts and in-kind donations
  • Oversees preparation, assembly and delivery/mailing of materials; assists with the preparation of solicitation letters; assists with direct mail appeals and other mailings
  • Works with Finance department to process donations and conduct gift reconciliations.
  • Processes and reconciles financial reports, deposits, income reports, invoices monthly credit card statements
  • Maintains expense /revenue budget; ensures Foundation documentation is in compliance for financial audit
  • Assists in building webpage content and webmail, monitors and updates webpage; generates and analyzes web page usage reports; manages social media content
  • Builds and maintains a catalog of stories and photos for use on web (events, news)
  • Assists in the coordination of and provides support for events and cultivation/stewardship activities, maintains revenue outcomes
  • Works collaboratively with intradepartmental and interdepartmental staff to coordinate logistics and licensing of events
  • Recruits interdepartmental and volunteer support and assists with the coordination of their activities; provides logistical and administrative support to volunteer committees
  • Assists with grant preparation, forms, signatures and packaging
  • Maintains organized inventory of office supplies, marketing materials, business cards, items for events and awards
  • Additional duties as assigned or as needed to meet to departmental or organizational goals

Qualifications and Skills:

  • High school diploma or equivalent; bachelor’s degree in English, communications or marketing is a plus
  • Ability to thrive in a fast-paced environment and be flexible, adaptable and detail-oriented
  • Excellent time management and organizational and problem solving skills
  • Excellent interpersonal and communication skills, both written and verbal, and the ability to work effectively with internal and external constituents
  • Ability to lift 20 pounds
  • Ability to work evenings and weekends as needed
  • Availability to conduct local travel
  • Valid driver’s license in state of residence with safe driving record

Required Licenses or Experience:

  • Experience with donor database management or other CRMs strongly preferred
  • Strong computer skills, including MS Office Suite (MSWord, MS Excel, and MS PowerPoint) and MS Publisher. Must be able to do mail merges.
  • A minimum of five years related experience or specialized training

Salary: $14.00 to $15.00 /hour
