Neighborhood Health Center is seeking a full time Administrative Assistant for its Family Medical Center. This exempt position will provide administrative support to the Clinical Leadership including Chief Medical Administrator, Medical Director, Dental Director, Chief Clinical Officer, Director of Nursing and Director of Efficiency, will report to the Chief Medical Administrator and will be based at our Northwest site in Buffalo, NY.

All Neighborhood Health Medical Centers are located in the greater Buffalo, NY region. The Buffalo-Niagara region boasts a great quality of life, with access to tremendous green space, including two Great Lakes and Niagara Falls, world-class museums, professional sports, public concerts and plays, and historic architecture.

Responsibilities:

  • Provide the Chief Medical Administrator, Medical Director, Dental Director, Chief Clinical Officer, Director of Nursing, and Director of Efficiency (the “Principals”) with administrative support, including payroll submissions, and manage their schedules, including internal and external meetings
  • Maintain an organized system of tracking, monitoring and prioritizing tasks and projects for the departments
  • Efficiently and accurately manage correspondence
  • Ensure Principals are provided with timely, accurate information and documentation for meetings and presentations
  • Organize departmental meetings; prepare agendas; coordinate catering and supplies, setup multi-media technology; attend meetings; take and distribute minutes
  • Conduct research as requested in preparation for meetings, phone calls, board reports and business trips
  • Provide a systems approach to the tracking and completion of departmental goals
  • Maintain high level of knowledge of all departmental functions and activities in order to respond to internal and external inquiries and requests for information and departmental support
  • Organize documents for approval, including contracts, invoices, request forms, purchase orders, expense reports processed through the finance department
  • Compile and process time sheets and expense reports
  • Organize travel arrangements for Principals and those accompanying Principals
  • Provide follow-up on employment verification requests to ensure completion in a timely manner
  • Maintain current vendor and professional contact information
  • Prepare clinicians’ on-call schedule for Chief Medical Administration approval
  • Organize, store and retrieve policies and procedures
  • Create and format documents, charts, Excel spreadsheets, and power point presentations

Requirements:

  • BA college degree
  • A minimum of 5-7 years of directly related work experience with increasing responsibility, providing outstanding administrative support, in roles of increasing scope and complexity
  • Exceptional attention to detail and follow-through
  • Superb organizational skills
  • Strong influencing skills
  • Self-starter with the ability to work proactively and take initiative
  • Results-oriented; creative and persistent in accomplishing tasks

  • Excellent in managing shifting priorities and timelines

  • Excellent in Microsoft Office Suite, comfortable using document management software
  • Outstanding in creating PowerPoint presentations
  • Proficiency in Adobe and database management
  • Excellent oral and written communication skills; adept at minute-taking
  • Strong ability to diplomatically and effectively manage interactions with individuals at all levels and job functions, both inside and outside the organization
  • Excellent judgment and discretion
