The Community Engagement Coordinator, reports to the Director of Clinical Services in collaborative supervision with the Heartland Alliance Volunteer Manager. In partnership with program leadership and the external relations team, the Community Engagement Coordinator supports the development and retention of relationships with individuals, volunteers, interns, and community partners to advance the mission of the Heartland Human Care Services (HHCS) SAFEty Initiative. This position serves the SAFEty Initiative of Heartland Human Care Services (HHCS), which focuses on the residential care and support of children ages 0 – 17 and their families. Through a variety of engagement activities, the Community Engagement Coordinator for SAFEty provides pathways for individuals and groups to meaningfully learn about, support, and connect to our work while ensuring the safety, security, and wellbeing of program participants in our care. The position is responsible for managing relationships, projects, and processes in a complex and highly matrixed environment. The position requires travel between program sites and around the Metro Chicago area as well as intermittent weekend and evening hours for events and on-call needs.
Essential Duties and Responsibilities:
Attends supervision, team, and organizational meetings, as appropriate
Develops and maintains a working knowledge of best practices and policy and program issues related to unaccompanied youth, trauma informed care, and the core principles outlined in the Heartland Alliance Philosophy of Care
Adheres to confidentiality, safety, and security guidelines and models appropriate behavior
Participates in other duties as assigned to maintain the safety, security, and integrity of program operations and records management
Establishes relationships with individuals, civic and corporate partners, and public and private institutions who want to engage with and/or support youth programming within the SAFEty division
Maintains contact with and plans appropriate activities for engagement with these groups within established parameters
Coordinates with HHCS leadership and the Heartland Alliance communications and marketing team to reach out to and respond to inquiries from the general public, media, and other external groups
Plans and manages logistics for engagement activities, including but not limited to speaking engagements, site visits, and special events
Participates in enterprise-wide engagement activities that increase awareness about our work, mission, and impact
Volunteer/Intern Management and Coordination
Makes recommendations regarding policies, procedures, and processes that support volunteer/intern engagement within the SAFEty programs
Collaborates with SAFEty leadership, program management, and the clinical team to develop appropriate opportunities for and outline the scope of volunteer/intern engagement activities
Coordinates with the DECM Volunteer Program Manager to communicate with, screen, and place potential volunteers, including but not limited to interviewing, overseeing pre-placement screening (e.g., reference and background checks, etc.), troubleshooting issues, and providing on-going support
Coordinates the orientation, on-going training, and on-site supervision of volunteers and interns
Attends Volunteer Coordinators Quarterly Meeting in order to share best practices, lessons learned and community support
Develops volunteer skills, supports efforts and recognizes challenges faced by volunteers in order to enhance the experience for volunteers and participants.Provides routine communication and coordinates social/appreciation gatherings to enhance the volunteer experience and build long-term capacity
Creates and manages a volunteer/intern record system that includes background checks and fingerprinting, incident reporting, assignments, and hours in accord with established guidelines and reporting requirements
Develops outcomes measures to evaluate the effectiveness of the volunteer assignments, including but not limited to quality of enrichment activities, volunteer experience/satisfaction, engagement and retention, appropriateness of placements, etc.
Maintains regular communication with community partners, HA Volunteer Manager and DECM Team
Cultivate mission driven success stories for internal and external publication the ensuring that content is up to date and accurate.
Relationship Management – Communicates and listens effectively; Establishes action plans for constituent interactions; manages multiple stakeholders with varying agendas with respect and a high degree of relational competency.
Volunteer Management – Ability to achieve goals while providing a volunteer centered approach. Recruits, trains, manages, engages, and retains volunteers to help provide meaningful engagement and enhance quality of life for participants while working to achieve the goals associated with the position; Create systems of accountability among volunteers to the organization and to the staff team
Creative Problem Solver/Critical Thinker– Able to develop innovative ways to engage volunteers while meeting the needs of participants. Understands the importance of and means to develop relationships with community partners long-term
Project Management - Develops project plans and realistic action plans; Creates project budgets; Communicates changes and progress to stakeholders; Completes projects on time and budget; Manages project team activities

Education and/or Experience: Bachelor’s degree and at least three years’ experience, or at least six years’ experience, with volunteer management/supervision, building volunteer outreach efforts, or similar community engagement experience. At least three years of experience working with children in residential care, or a similar population in a residential setting, is strongly preferred.
Other skills and Experience: Multilingual preferred. Excellent interpersonal skills, effective writing skills, and demonstrated ability to effectively communicate to individuals and groups, including but not limited to public speaking and presentation skills. Ability to multi-task and maintain organization. Excellent attention to detail. Demonstrated experience interacting with diverse individuals and communities.
Computer and Technologic Skills: Proficient in MS Office Suite, social media and internet applications. Experience with Raiser’s Edge and Volgistics preferred. Valid driver’s license and access to a reliable transportation required.
