Adult Education Department – Program Assistant– Gwinnett Tech Main Campus

Schedule: May work up to twenty-nine (29) hours per week maximum depending on business needs and budget for a period not to exceed nine consecutive calendar months. There must be a separation of employment for a period of at least thirty (30) calendar days before becoming eligible for re-employment including any future period(s) of active employment.

Hours:
Monday, Tuesday, Wednesday:
8:30 – 12:30 PM and 1:00 – 4:15 PM

Thursday:
8:30 – 4:15 PM (minus 30 minutes for lunch)

This schedule is split between two locations in Lawrenceville. Flexibility to alter this schedule is required to accommodate occasional changes in staff and/or department hours.

Salary – up to $14.21 per hour

Qualifications:
Education: High School or GED; Associates or above preferred.

Experience: 5+ years in an office support position with tasks assigned by multiple administrative sources; front desk reception/secretary capacity.

Minimum Required Skills: Computer proficiency in Microsoft Word and Excel; experience using data management systems; pleasant, personable, customer service oriented demeanor required; Typing 50 WPM; accurate and detailed data entry and report generation; ability to prioritize and organize; quality multi-tasking skills; ability to work in and with a culturally diverse population; self-starter who can work with minimal supervision; effective oral and written communication skills. Individual must be dependable and conduct themselves in a professional, approachable manner.

Preferred Skills: Knowledgeable and experienced with GALIS and BEST Plus 2.0. Minimum of five years’ administrative experience in an Adult Education program, preferably with ESL. Advanced Microsoft office skills (Excel, PowerPoint, Publisher).

Job Description: Under the supervision of department Administration, the Program Assistant (PA) exhibits a pleasant and positive attitude while supporting the students and instructors in their duties. While primary responsibility is to ensure quality customer service, additional tasks may be assigned as needed.

Essential Job Functions:
Serve customers via phone and in person in a highly respectful, patient and courteous manner.
Disseminate accurate information to the public regarding all department programs and services.
Assist with updating program information flyers and website information.
Work with Lead Instructors monitoring and entering student information into specialized data systems, Excel spreadsheets, and Word document. Compile and print reports as needed.
Work closely with all staff and administration to improve processes and effectively communicate information.
  • Prepare administrative and instructional materials as directed by supervisors.
  • General filing and other projects as required by Lead Instructors, teachers, and Administrative personnel.
  • Turn in required reports accurately and on time.
  • Participate in staff development training sessions as required.
Other duties as assigned.
