Great opportunity for someone who is a self-starter! Immediate opening for very detailed and organized administrative assistant. This position will report to the Executive Administrative Assistant. The position requires intermediate excel skills. Quickbooks Premier experience is also required. Previous experience in an administrative assistant role is preferred. Accounting background is a plus.
Possess very strong computer skills including Microsoft Office (predominantly Excel, PowerPoint and Word) skills and Internet research capabilities. Must know how to utilize Pivot Tables and V-Lookup functions within Excel. Microsoft Office skills will be tested and evaluated during interview process.
Must be flexible with hours and scheduling to complete various time sensitive tasks.
Be able to manage numerous projects at once, while knowing how to assign levels of importance and sensitivity to each.
Have extremely well-honed time management skills.
Ability to analyze details and create reports.
Meticulous follow up to complete tasks properly.
Print materials needed for meetings, calls, projects, etc.
Complete special projects as assigned
Sensitivity to confidential information is required
Handle incoming mail and PO box
Manage travel for busy executive including trip folders and TripIt itinerary
Travel arrangements for other company executives
Book travel for airfare, hotels, limos, rental cars
Check in for flights, confirm TSA Pre-check
Help at social events, coordinating the event, food, details
Possible opportunity to travel for trade shows
Maintain To Do List for executive
Update calendar with executive’s schedule
Update calendar with salespeoples’ schedules
Maintain spreadsheets using excel
Manage multiple properties remotely
