Full Job Description
Directs all operational aspects of Supply Chain Informatics. Responsible for the effective implementation of technology for all Supply Chain, enhanced ERP utilization, as well as centralization, maintenance, analysis and report generation of Supply Chain operational data. Responsible for research, recommendations, and implementation of software enhancements to existing systems or the introduction of new technology that will garner further improvements and automation in the Supply Chain operations. Responsible for accurate recording and integration of item master data with all clinical systems. Has direct management responsibility for purchasing, performance improvement and E-Comm/ERP functions within Supply Chain.
Masters degree in Healthcare Information Systems or related and 5 years experience in Supply Chain setting of multihospital system with increasingly responsible positions; or Bachelors degree in Supply Chain Management or related and 7 years experience in Supply Chain setting of multihospital system with increasingly responsible positions; or 10 years experience in Supply Chain setting of multihospital system with increasingly responsible positions and 7 years Information Systems experience.
5 years experience in Supply Chain setting of multihospital system with increasingly responsible positions with Masters degree or 7 years of experience with Bachelors degree or 10 years of related experience with increasingly responsible positions and 7 years of Information Systems experience. 3 years experience with PeopleSoft or other 1st tier ERP applications (Oracle, Lawson, McKesson, SAP). Experience with Electronic Data Interchange (EDI), eMarketplace tools for punch out to vendor applications, and web site administration. Experience with eAPPS for the self-service tool-sets, including workflow administration and notifications. Understanding of Surgical Information Systems, automated supply distribution systems (PYXIS, Omnicell, or Par Excellence), and integration points with consignment processes. Experience with external bench-marking repositories (GPO,ECRI, IMS, SCMetrix) to extract and analyze performance metrics.
Six Sigma Green Belt or above. Project Management certification and CMRP a plus.
Knowledge, Skills & Abilities
Ability to develop and lead multidisciplinary teams, successfully execute Supply Chain systems initiatives, manage multiple projects and staff simultaneously, and develop and deliver presentations to leadership and work teams. Advanced knowledge and understanding of hospital financial and billing systems in relationship to clinical integration. Advanced SQL/SQR, BI Publisher and Crystal report development.
Primary Duties and Responsibilities
Actively participates in Corporate IT counsels with responsibility for review and prioritization of initiatives and serves as the approval body for requested changes to Corporate Systems, and drive standardization of IT systems across business units.
Conducts monthly team meetings and appropriate one on one meetings with direct reports. Provides timely input on performance, and conducts feedback sessions/performance reviews all year long.
Develops and contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards and safety standards. Ensures compliance with hospital/facility policies and procedures and governmental/accreditation regulations.
Develops and coordinates standards of education for Supply Chain information systems. Administers tool set for education development, and ensures SC team is trained on the tool and can provide appropriate training materials for all applications end users are interacting with for Supply Chain Services.
Develops of direct reports through active participation in career planning, coaching and modeled behavior. Provides coaching and education opportunities to ensure continued growth in the skill sets and professional
attributes desired in Supply Chain.
Ensures downtime recovery protocols are documented and procedures stay current. Develops and administers protocols for the SC Informatics team to provide support of all information systems.
Facilitates internal supply chain performance improvement initiatives.
Leads appropriate oversight meetings and provide operational/financial performance metrics to senior leaders in the organization.
Maintains complete documentation of product functionality for all supply chain systems, current use and future anticipated use.
Participates in all IT business reviews with SC system vendors and corporate contracting to ensure service levels are managed and maintained.
Participates in multidisciplinary quality and service improvement teams as appropriate. Participates in meetings, serves on committees and represents the department and hospital/facility in community outreach efforts as appropriate.
Performs other duties as assigned.
Provides direct supervision for purchasing, performance improvement, e-commerce growth and maintenance, point-of-use sub-system, and database management activities within supply chain.
Responsible for oversight of SC department web pages and related content.
Responsible for planning, budget, and coordination of all Supply Chain Services information system installations. Serve the Supply Chain leadership team as a facilitator to all system requests for technology introduction. This includes development of charters, project plans detailing objectives, deliverables, resources and timelines.
Responsible for strategic planning and long range forecasting of departments growth and service offerings.
Responsible for the development and administration of all guidelines related to data standards, vendor management and item enrichment. Ensures the guidelines are followed to achieve integrity, consistency and accuracy of all data in supply chain systems and reporting (includes PeopleSoft, Spend Analytics, and GHX tools for EDI transactions).
Responsible for the efficient operation of the purchasing team through the maximum use of automation and system functionality while ensuring optimal customer service levels are achieved.
Works closely with all SC departments to ensure initiatives are reviewed for appropriateness and prioritization, guides discussion of current system issues and proposed corrective action, ensures thorough and accurate testing protocols are practiced, and follows all IT change control procedures and communicates results.
