General Statement of Duties:
This administrative support position serves under the direct supervision of the Regional Emergency Communications Center Director and assists in the daily administration and operation of the RECC. Coordinates various administrative and clerical activities of the RECC Office. Assists by maintaining all administrative files while complying with the public records requirements of the Commonwealth of Massachusetts. Communicates information and requests to and from Sheriff and various agencies throughout the Commonwealth on behalf of the Director. This position requires strong oral and written communication skills and the capability to manage multiple tasks and projects; the ability to keep restricted information confidential is a vital requirement of this position.

Supervision Exercised:
None, except in special circumstances, when specifically authorized by the Director.

Specific Duties and Responsibilities:
This position will:
Provide administrative and clerical support; manage and organize the Director’s correspondence, memoranda, daily schedule and telephone call list. Skilled in Microsoft Office applications such as SharePoint, Word, Excel, PowerPoint, and Outlook.
Assist on agenda development and correspondence for all meetings, including sub-committee meetings. Record, distribute and file all minutes and notes of meetings. Assist on drafting and compilation of additional post meeting communications and information gathering tasks as required and as assigned by the Director.
Maintain the general subject files. Ensure compliance with public record laws of Massachusetts. Maintain employee confidence and protect operations by keeping personnel data confidential.
Handle telephone communications for the RECC and function as a receptionist.
Travel to and attend outside meetings, as requested by the Director, to assist in set-up and execution of the meetings including recording of Minutes.
Handle duties related to submission, tracking, and reporting of payroll and attendance, with the ability to use related applications such as HR-CMS, Access/Warehouse, and KRONOS.
Contribute to the overall RECC staff effort as a team member in support of staff projects and tasks required of the RECC mission.

Qualifications

Required Qualifications:
This Position requires a High School Diploma and/or Associates Degree with two to four years of formal training in secretarial science and/or business office administration. Two (2) years experience in a similar capacity and a demonstrated combination of education, training and experience, which cumulatively provide clear evidence of the knowledge and skills to meet these assigned duties. Person selected must demonstrate a high degree of computer literacy including, but not limited to, demonstrated knowledge of and ability to use Microsoft Word, Excel and Outlook office software. A high degree of proficiency in typing and data entry is required as is demonstrated ability to interact with other employees and the general public. Position requires ability to function calmly under pressure. Experience in a public safety or criminal justice related environment is a plus but not a requirement.
