POSITION TITLE: Office Support Person IV
DEPARTMENT: Office of Public Health (OPH)
POSITION REPORTING: Health Program Office Coordinator
Provide general office support duties for the office. Primary responsibilities will be supporting the five operational services (Environmental Field Services, Water Quality Management, Clinical Services, Health Promotion and Communicable Disease Control) and Health and Human Services (HHS) as needed. Will be required to work as part of the Office Support team to accomplish the goals of the department’s support functions. The position must exemplify the core values and mission of OPH, always exercising utmost discretion and tact in client/staff interactions
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Perform day-to-day administrative functions and general office duties including but not limited to word processing, copying, filing, faxing, data entry and answering phones.
Coordinate and schedule divisional initiatives, trainings, etc.
Call client/customers to confirm appointments, answer application questions
Answer phones and triage calls in the various offices within OPH; retrieve overnight messages and disseminate appropriately
Verify client health insurance status
Maintain appropriate inventory levels
Communicate regularly with satellite offices and provide assistance within those offices when needed.
Ability to work as late as 8pm one to two days per week
Required to travel throughout the County
Perform related tasks, as assigned by supervisors and/or division administrators
Cross-train within all operations, including communicable disease and immunization clinics
Greet clients/customers at HHS reception

Must be computer literate with recent work experience using a computer
Ability to work in multiple computer systems/applications simultaneously
Understands the importance of maintaining confidentiality; able to maintain confidentiality under HIPAA standards.
Good inter-personal, oral and written communications skills are required
Must be accurate, detail-oriented and well organized
Must take and pass clerical skills tests
Must project a professional demeanor, at all times
Ability to operate a variety of office equipment
Minimum of High School Diploma, or equivalency
