Blue Vista 725 is an unpretentious, growing media planning and services agency and we’re hiring.We’re looking for a bright media planning/buying assistant to help manage the day-to-day responsibilities on our local/regional and national accounts. The job includes account-specific (managing media schedules, budget oversight, communicating with media sales reps, reconciliation) as well as administrative tasks (filing, organizing, preparing recommendation decks).

We’re a true cross channel agency and everyone here learns about all media types (broadcast, digital, out of home, print and everything in between). A naturally curious mind, resourcefulness, a love for numbers and a passion for advertising are a must. Previous marketing or media agency experience are a definite plus. You should be diligent and pay great attention to detail, as well as be comfortable in a casual and entrepreneurial environment where the strictest policy is having fun and truly enjoying what you do.

Main Duties and Responsibilities

  • Gather ad rates, and send schedules to media outlets
  • Work across brand planning & other activation teams to ensure best results for client
  • Check invoices and resolve media billing discrepancies
  • Create working relationships with media vendors and rep firms to maintain buys and solve problems.
  • Assist buyers to make sure all media schedules are running as ordered each quarter to meet delivery goals.
  • Assist Buyer’s with any requests.
  • Confirm all orders
  • Contract creation and invoicing.
  • Create and deliver creative spec sheets to advertisers.
  • Generating advertising Proof of Performance affidavits and reports.
  • Ensure the consistency of the campaigns.
  • Monitor the effectiveness of ads.
  • Email database updates and maintenance.
  • Generate insertion/sales orders to vendors.
  • Media traffic sheet generating and monitoring deliverables.
  • Assist with data entry, paperwork, and network research share filing.
  • Collating and delivering tear sheets for advertiser’s completed promo campaigns.
  • Manage trade opportunities

Coordinating/Planning

  • Assist Buyer’s with any requests.
  • Generate presentations for prospective clients.
  • Assist buyers to make sure all media schedules are running as ordered each quarter to meet delivery goals.
  • Confirm all orders.
  • Resolve discrepancies on a weekly basis using a tracking system.
  • Execute makegoods.
  • Pre-logs- sensitive contracts.
  • Discrepancies/Overrides.
  • Traffic Revisions/Purges.
  • Reports- Planning emails and memos.
  • Program Change Report.
  • Gather ad rates, and send schedules to media outlets.
  • Non- Metered Market Reports.
  • Out of Flight reports/Market Coverage.
  • Check invoices and resolve media billing discrepancies.
  • Revisions/spot cuts- moves from planning.

Sales Support

  • Market research.
  • Soliciting prospects in various Entertainment & Leisure sectors (Attractions, Broadway/Off-Broadway, Restaurants, Spas, more) as well as Consumer Goods & Services.
  • Email & e-newsletter generation and dissemination of our media offers.
  • Manage trade opportunities.

Marketing & Promotional Support

  • Support the marketing team in fulfilling a variety of advertising/promotional campaigns with our media vendors/promotional partners for our entertainment and leisure clients.
  • Provide proof of performance to marketing team for clients.

Knowledge and Skills Required

  • Bachelor’s Degree or above
  • Proficiency with Microsoft Office programs
  • Experience working in fast-paced environment and able to multi-task
  • Flexible multi-tasker, with the ability to follow directions
  • Detail-oriented, and comfortable working with numbers
  • Strong verbal and written communication skills
  • Enthusiastic, outgoing, and curious demeanor Certificates, licenses and registrations n/a Physical
  • Must be a quick learner and able to work in a fast-paced environment. Must also have strong organizational skills and a high level of attention to detail.

Qualifications

  • 6 months + in a Media Buying/Planning role
