Coordinates day to day operations within four corporate locations, which include four Mail Centers and one Copy Center. Delegates work accordingly with all staff members and relates back to Management on all tasks and procedures. Responsible for coordinating all shipping and receiving, scheduled pick-ups and deliveries for all Trade shows and special events that occur throughout each year. Communicate to Management when a project is completed from start to finish.
ESSENTIAL JOB RESULTS
45% Ensures that all projects are completed in a timely manner while meeting all deadlines and expectations of day-to-day operations.
30% Monitor and assist staff on bi-weekly Rep Mail/Retail distribution by making sure all shipments are processed, packaged, and picked up accordingly to meet shipping deadlines to all company Sales Representatives/Retail Stores.
10% Updates all shipping and receiving systems with new hardware, new employees and verifies that systems have active corporate account/funds.
10% Informs all staff members on new procedures, tasks and projects as they arise including training on all shipping/receiving systems with new features.
5% Answers technical questions or concerns to all internal customers regarding all shipping/ receiving procedures.
Maintains a strong communication with management on all issues regarding the mail center and copy center.
Along with the Office Services Manager, encourage staff to maintain and organize a safe and clean workplace daily.
Communicates and works closely with the Purchasing Coordinator to ensure that all Company/Retail supplies are processed correctly and in a timely manner .
Other duties are assigned as they arise.
Able to create and manipulate all aspects of Microsoft Office which include Excel, Word, and Outlook.
Troubleshoot all company equipment within the Office Services department when issues arise.
Works closely with staff members on the completion of an Office Services Monthly Report.
Must be able to lift, carry, and otherwise move or position up to 50 pounds.
Must be able to travel to local stores, vendors, and/or businesses within Manhattan Beach and surrounding cities within a 50-mile radius.
Must possess a valid Driver’s License with a clean driving record and be insurable under company’s standard liability policy, as issued by company’s current insurance carrier. (DMV printout must be provided by candidate at interview.)
EDUCATION AND EXPERIENCE
High school diploma, or equivalent.
0-2 years experience in a corporate environment in a similar capacity.
Computer Skills: able to use Microsoft Office, such as Excel, Word, and Outlook. Ability to create basic spreadsheets and write clear and concise emails.
Ability to communicate effectively.
