The Office of the University Registrar is part of the Student Registration and Financial Services team. The office plays a central role in the Next Generation Student Systems project (NGSS) and aims to modernize its systems and methods of supporting the academic mission and community of the University of Pennsylvania. To drive the success of this ambitious project we are rapidly growing an energetic, positive, and forward thinking team.

Reporting to the Assistant University Registrar for Scheduling, the Scheduling Coordinator supports university-wide academic scheduling, in accordance with established policy, to allocate classrooms for courses, exams, and academic special events.

Course scheduling duties include the preparation and distribution of reports and other documents to schools and departments, maintaining the integrity of the course data in the university’s scheduling and student information systems, and providing ongoing assistance and training to the schools and departments in the rostering of courses. Final exam processing includes setting up schedules for final exams and postponed exams, preparing and distributing final exam reports and information to the schools, departments, and faculty, activating and maintaining the final exam database, and preparing the final exam listing for publication.

Classroom scheduling duties include maintaining electronic files and records in our scheduling systems, reviewing and assigning classrooms to courses based on faculty technology needs/classroom preferences, assigning classrooms for academic special events. The Scheduling Coordinator occasionally serves on Central Pool Classroom Committee to support the Assistant University Registrar and the committee. Works closely with the Assistant Registrar in reviewing and analyzing class meeting patterns and utilization of classrooms. Performs other duties as assigned.

High School diploma or GED and 5 to 7 years of experience, or equivalent combination of education and experience, are required. An Associate’s Degree or two year college equivalent and 3 years to 5 years of experience are preferred. Demonstrated ability to handle numerous projects simultaneously, excellent attention to detail, and ability to communicate orally and in writing with a diverse group of University faculty and staff, ability to work independently and as part of a team. Ability to be flexible and work under pressure, may require extended hours during peak periods. Proficiency in the use of Microsoft Office required. The ideal candidate will be experienced working in a fast paced environment, will be comfortable working in scheduling software, and enjoys solving complex problems and working with others to deliver the highest quality service in support of the University’s academic mission.
