Assist with managing calendars, making travel, meeting and event arrangements, coordinating and scheduling meetings or teleconferences, initiating telecommunications
Conserve senior management time by reading, researching, and routing correspondence; drafting letters and documents;
Fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets.
Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
Assist with recruitment and interview process, including scheduling and setting up interview rooms, sending interview invitations, receiving candidates etc.
Manage office operations including office layout, supplies, cleaning and maintaining, security services etc.
Manage the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image
Work with vendors and participate in negotiations for the purchase of office supplies or equipment in accordance with company purchasing policies and budgetary restrictions.
Address employee queries regarding office management issues including stationery, hardware, office condition etc.
Coordinate onsite marketing events as needed, and coordinate employee activities
1-5 years of experience as an Office Manager and/or Administrative Assistant is required
Associate Degree or higher is a plus
Mandarin speaking a plus
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Strong internal and external customer services focus with an ability to develop solid working relationships.
Strong organizational and planning skills in a fast-paced environment
Proficiency in MS Office Suites including MS Word, Excel, and Outlook
