Job Summary
Office Operations and Administrative Manager - Cleveland

This working manager position is responsible for providing office management and administrative and operations support to the Cleveland office. The position requires extensive administrative, people, communication, organizational, planning and project management skills. This position also provides business support to Audit Partners and Directors, and leads the local office services team. Reports to the Regional Manager and is a member of the Global Services (GS) team.

Operations and Office Management

Responsible for business planning and strategic office initiatives in collaboration with the office managing partner (OMP), including employee welfare activities, charitable/civic and local contributions and sponsorships.
Collaborate with the OMP on managing the local office budget; provide budget to actual analysis and forecasting as well as coding and approval of invoices.
Responsible for implementation of firmwide policies and standards at the local office level in collaboration with OMP.
Manage various local office and firm projects from start to finish including developing project plans, communications and follow up.
Lead day-to-day office operations and facilities including working with Firmwide Real Estate on space improvements and design, space utilization reporting and safety and security.
Working manager, able to provide project support to business practice groups and assistance in operational areas including, front office, meeting and mobility services, mail and production, and records.
Manage new hire local office orientation, new hire planning and set-up process.
Team Leadership

Lead local office services team including career coaching, development, performance management and scheduling of work to create vision and establish goals
Lead local GS team meetings including agenda focused on learning, cross-training, team building, and sharing information and best practices.
Review time and expense, deliverables and work flow with team to ensure adequate coverage relative to office support needs.
Serve as contact for local project support or special projects aligning resources based on skill, availability and interest.
Continuously assess staffing and skill needs and local services provided to internal clients.
Serve as liaison between leadership and other client service professionals to better understand support needs and develop operational support plan based on these needs.
Evaluate and encourage process improvement to provide effectiveness as well as design, enhance or implement core work processes and work flow to improve operations services delivery.
Business Support

Develop, edit and format correspondence, letters, presentations, proposals, spreadsheets, .pdf files using Adobe Professional and newsletters including coordination of distribution.
Prepare and distribute various communications and types of business reports and perform data analysis and reconciliation as well as summarize trends and provide recommendations.
Research and document information using various Internet search engines and research sites.
Assist with planning of client or internal meetings, webcasts or conference calls, including scheduling and communication, maintaining information and preparing and distributing materials.
Provide assistance as it relates to planning and preparations for speaking engagements, committee involvement and events, including creation and preparation of written and spoken materials.
Provide calendar management for client or business unit meetings, including administration, scheduling, and communication.
Coordinate travel arrangements through Concur booking tool or travel agents.
Assist with SharePoint site content management and administration.
Use extensive knowledge of internal business practices and priorities to proactively respond to daily issues and requests as authorized, keeping them apprised of critical issues.
Evaluate and encourage process improvement to provide effectiveness and enhance service delivery.
Utilize tracking systems to ensure all time and materials are recorded, project work is prepared and tracked, and project instructions and client interactions are fully documented.

College degree is highly preferred.
Ten or more years of experience as an office operations and administrative manager in professional services financial or accounting firm environment.
Ten or more years of experience as a performance manager, leading, coaching and developing teams.
Strong people services skills with focus on team building, career development and recognition.
Highly effective and polished oral and written communication skills and competency in grammar and attention to detail.
Leads through example by establishing goals and driving results quickly through excellent coaching and facilitating.
Extensive administrative background with experience working on documents, including reviewing for quality assurance and managing projects and initiatives within office administration and operations.
Advanced level of expertise in Microsoft Word, PowerPoint, Excel, Adobe Professional, Outlook, and web based applications are required. Expertise in Visio and SharePoint is preferred.
User expertise of office technology equipment such as videoconferencing, MFD’s and LCD projectors.
Professional presence and exceptional client service skills, exercising a high level of confidentiality in all work products and communications.
Desire to leverage technology to solve business problems.
Ability to teach and guide others on use of software, tool and process and utilize both technical and interpersonal skills to assist clients.
Ability to bring thought leadership and creativity to content and design of projects and presentations.
Strong critical thinking, problem solving, time management and analytical skills.
Effective project planning and negotiation skills with a high energy level and ability to balance and prioritize projects while leveraging others in order to complete daily responsibilities and projects.
Ability to understand and strictly adhere to the quality standards and procedures established by Crowe, including brand standards and guidelines.
Familiar with using billing systems and with financial terminology and impact of financial transactions.

Estimate an annual average of 10-15% overtime.
