Administrative Role Includes:

Receiving
-Reconcile trucking paperwork to our purchase order for incoming material (line items, costs, and weights).
-Use spreadsheet to calculate cost of freight to be added to material base cost.
-Enter price and quantity for each line item to be received into Epicor Solar Eclipse software.
-Print receiving report and check against paperwork used to enter prices and quantities.
-Make copies of this paperwork to mail to corporate office.
-Scan material test reports into document management system.

Billing
-Collect pick tickets (warehouse paperwork), ship tickets (signed will call receipts), and manifests (deliveries).
-Reconcile office and warehouse copies of pick tickets, and match them with ship tickets or manifests.
-Scan manifests to close delivery orders.
-Print invoicing preview report to be checked and signed off by manager.
-Set invoices to batch process in Solar Eclipse software
-Stuff and stamp envelopes for all invoices printed the previous day, place in area for mail pickup.
-Scan all paperwork connected to each invoice, printed the previous day, into Solar Eclipse.
-File all paperwork for each invoice printed the previous day.

Accounts Payable
-Process bills received via email and U.S. mail, prep for management approval.
-Enter approved bills into a spreadsheet.
-Make copies of bills, and mail originals to corporate office for payment.

Accounts Receivable
-Process paper check payments through Solar Eclipse software.
-Prepare checks for deposit by management.
-Scan and email deposit information to corporate office.

Staff Support
-Interact with corporate office via phone, email, U.S. mail, and screen sharing software.
-Answer all incoming phone calls, and route to salespeople.
-Print material test reports from document management system for each order processed by the warehouse.
-Track all open bills, invoices, receiving, and other paperwork that is waiting to be processed.
-Track office and warehouse supplies, and order with management approval.
