Office Manager / Executive Assistant

Yamaha Motor Ventures & Laboratory Silicon Valley (“YMVSV”) is the venture capital and strategic business development arm of Yamaha Motor Co. We are looking for an energetic Office Manager/ Executive Assistant to run the daily operations of our Menlo Park office. Our Office Manager/ Executive Assistant will wear multiple hats. In addition to managing the day to day functions of our office, you will also play a critical role championing company culture and supporting the team’s administrative needs. Key R esponsibilities as our Office Manager:
Be the welcoming face of Yamaha Motor Ventures at our Menlo Park headquarters by warmly greeting visitors and supporting them during their stay.
Streamline processes to ensure the smooth and efficient running of our office.

Be a champion of our company culture! Seek new and exciting ways to make our office a
more vibrant place to work.
Serve as primary liaison between the company and office building management, vendors, and contractors to ensure the office is impeccably clean and in good working
order at
all times, including the purchase and upkeep of furniture, workstations and
office equipment.
Keep the company well-fed by organizing delicious company lunches and stocking our
kitchen with a refreshing and healthy variety of snacks and beverages.

Key Responsibilities as our Executive Assistant:
Manage complex calendars and meeting logistics across multiple time zones.
Arrange domestic and international travel, including hotel accommodations, car services, directions, restaurant reservations and preparing
detailed itineraries to
accompany
travel
arrangements.
Plan, manage and coordinate frequent on-site
and off-site
meetings and events.
Help onboard new employees (administer
parking, desk, computer, workstations, etc.).
Prepare and edit
correspondences,
reports, presentations
and meeting minutes, and
organize and maintain necessary files and records.

What You Bring to the Team:
At least 3
years of
experience as an office manager
and executive assistant.
Self-motivated, proactive, highly organized and
results-oriented.
Strong work ethic to execute a variety of administrative projects as the business grows
Detail-oriented with a sense of urgency and follow-through.
Exceptional customer service and communication skills — you know precisely what to say
and
how to say it, both online and in-person.
A
sense of empowerment to resolve your own problems, make decisions, and trust your
own good judgement.
Commitment to anticipating needs and resolving issues while demonstrating a
professional and service-oriented
demeanor.
Excellent technical skills, including
experience
troubleshooting WiFi, video, phone and
printer equipment.
Comfort with Apple products, Google Docs, and Office365.
Bachelor of Art/Science or college coursework in business administration or related field
preferred.
Authorization to work in the United States without visa sponsorship required.
