HR Admin Asst.
The HR Assistant is responsible for providing administrative support to the CTO including administration of the executive-s calendar and providing assistance with daily tasks. The HR Assistant plays a critical role in the daily operations of the department by maintaining a specific focus on supporting compliance, hiring/onboarding employees, and managing personnel files. Although the position manages a portfolio of specific operational tasks, the HR Assistant is the department-s designated utility position; filling in where needed and impacting every area of the department. This position is also a back-up for the CSC receptionist.
Manage business travel for the CTO to include scheduling all arrangements, itinerary preparation, and coordination of all travel requirements. Manage expense accountability by preparing and submitting expenses; serving as liaison with Accounting for purposes of coding, reconciliation, and payment.
Provide administrative support to the HR Department, including but not limited to managing correspondence, processing invoices, ordering/maintaining supplies, taking meeting minutes, receiving/assisting visitors, retrieving and routing faxes, and scheduling maintenance/repair for office equipment.
Support the compliance process by managing personnel files; ensuring compliance with federal, state, licensing and contract requirements.
Respond to employment verifications and unemployment claim requests, providing all relevant documentation. As assigned, respond to requests/subpoenas for personnel records.
Administer onboarding and exit surveys processes.
Administer company service awards program.
Where needed, assist the Talent Development team in preparation activities associated with onsite/local classroom training activities.
Respond to emails coming into the HR general inbox.
Experience: Five years of related work experience required with a minimum of two years of experience in Human Resources. Demonstrated ability to exercise independent judgment. Experience in Human Service programs is preferred.
Skills: Proficiency with MS Office (Word, Excel, Outlook, Access, PowerPoint). Ability to learn and utilize various HRIS and ATS software as needed. Excellent phone etiquette. Customer service driven. Ability to both work collaboratively in a team environment as well as act independently without direct supervision. Self-motivated with strong interpersonal skill and a proven ability to exercise sound judgment in the handling of confidential information. Strong written/verbal communication skills and the ability to handle multiple and sometimes conflicting deadlines while maintaining the quality of work. Must have strong organizational skills and be able to demonstrate meticulous attention to detail.
Physical Demands: Ability to sit at desk for extended periods of time, and to tolerate extended periods of data entry; ability to occasionally lift/move up to 25 pounds; Ability to travel; Must be free of communicable disease as defined by the appropriate state and to the extent that knowledge is attainable under the law.
Other: Must interface effectively at all levels of the organization, commitment to professional standards, and personal development. Must meet state criminal background check requirements.
