KEY RESPONSIBILITIES:
- Serves as the front-line point of contact for the Children’s division and Open classes.
- Oversees School inbox. Provide the best possible customer service to families by answering MCBS phone lines and relaying telephone messages and e-mails to appropriate school employees and other Company departments.
- Completes data entry for student records in the Children’s Division
- Receives excused absence calls and emails and disseminates this information to faculty in a timely fashion.
- Tracks schedule changes, updates it in the portal and notifies faculty and pianist of changes.
- Tracks incident and behavior reports and schedules conferences with Children’s Division families.
- Assists School Programs Manager with scheduling parent/student meetings with School Directors.
- Assists School Programs Manager with posting information on lobby bulletin boards.
- Provides support to the School Operations Manager with tuition deadlines and follows up with families as necessary for past due balances.
- Assists the School Operations Manager with sales/refunds/credits and all student accounts.
- Compiles receipts and submits credit card reconciliations to School Managing Director and Finance.
- Ensures school website information is accurate and updated.
- Manages locker reservations.
- Provides administrative support to all School staff, as needed.
- Assists with drop-off and pick up procedures to help ensure safety of students
- Updates all registration forms and packets of information for parents of the Children’s Division.
- Manages outgoing communications regarding Community Schedule changes/holidays.
QUALIFICATIONS:
- Two years administrative experience required. Must be fluent in English, bi-lingual in English and Spanish preferred
- Excellent knowledge of Microsoft suite, and an ability to learn new programs
- Excellent time management skills, demonstrated ability to coordinate simultaneous projects, with forward planning and ability to meet deadlines
- Excellent attention to detail, grammar, and proof-reading skills
- Excellent initiative taking with an ability to proactively solve problems
- Excellent interpersonal and communication skills including a positive attitude and the ability to deal with a variety of stakeholders
- Experience in education, dance or performing arts is desirable
