DETAILED STATEMENT OF DUTIES AND RESPONSIBILITIES
Monitors office votes and processes hearing examiner cases. This includes notifying appropriate parties i.e., clients, law enforcement officials and other parties entitled to notification, such as victims;
Generates forms, interoffice memos and reports on the computer and retrieves documents to edit as needed;
Assists in the preparation of parole summaries for review by the Members of the Parole Board, by data entered onto parole summary face sheet is checked for accuracy and subsequently printed;
Relevant information regarding individuals committed to the institution is entered on the computer, running files of individuals committed to the correctional facility. This includes offender’s name, commitment number, date of birth, offense, parole eligibility date. Such information is used to create a tracking system to ensure that parole eligible clients are seen by a hearing panel in a timely manner;
Prepares official documents issued under the authorization of the Massachusetts Parole Board on the computer. These documents include: parole permits, notice of home and work sheets, parole summary face sheets, and order of appearance sheets;
Answers telephone inquiries regarding unit business, by assessing records stored on the computer;
Files inmate paper documents in alphabetical filing system for both master folders and index cards.
Transcribes and types from hand-written reports onto computer and subsequently prints document.
Responsible for keeping information up to date for data entry type tasks;
Operates a printer to obtain hard copies of parole summaries, forms, reports, various lists and memorandums;
Utilizes the computer to maintain all records referencing data processing tasks, procedures and forms;
Utilizes the computer to obtain board of probation and warrant checks for those individuals scheduled to meet with a hearing panel.
This requisition will remain open until filled; however, first consideration will be given to those applicants that apply within the first 14 days.
MINIMUM ENTRANCE REQUIREMENTS:
Applicants must have at least (A) two years of full-time, or equivalent part-time experience in office work the major duties of which included typing, or (B) any equivalent combination of the required experience and the substitutions below.
I. A diploma as evidence of graduation from a commercial or business course of a recognized high school or vocational/technical high school maybe substituted for a maximum of one year of the required experience.
II. A diploma as evidence of graduation from a course other than a commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*
III. A diploma for completion of a program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.*
IV. An Associate's or higher degree may be substituted for a maximum of one year of the required experience.*
Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
