Position Title: Coordinator of Student Health and Achievement

Position Summary – The Coordinator of Student Health and Achievement serves in a management role which is responsible for the Sherman Thomas Student Center facility and all Student Services associated events involving personal fitness, goal setting, student success, and leadership development. This position oversees the Health & Wellness Program and all associated events, the Asbury Fitness Team and Hospitality Assistant Team, management of the Intramural Sports Program and facilitating the Wesley Waddle 10K/5K race.

Essential Functions

  • Manages and oversees the Sherman Thomas Student Center
  • Coordinates scheduling for internal events and reservations
  • Oversees the hospitality team of student workers and is responsible for hiring, training, shift scheduling, and weekly team meetings
  • Responsible for maintaining and enforcing Student Center policies and procedures
  • Manages and facilitates Student Center policies and membership process with Hospitality Assistant student worker staff
  • Responsible for communicating Student Center hours, policies, and changes to the Asbury Theological Seminary community
  • Responsible for managing and responding appropriately to Student Services, Wesley Waddle, and Fitness email accounts
  • Oversees reporting and communication in regards to maintenance requests of the Student Center
  • Facilitates communication and advertising for all student activities and leadership opportunities occurring around campus and within Student Center
  • Submits revenue deposits and is responsible for maintaining and tracking Income Transmittal forms, cash logs, and payment systems
  • Oversees scheduling and assists in marketing and equipment maintenance for Student Center programs such as Lion’s Pride Martial Arts, ATS Gymnastics, etc.
  • Oversees procedures for incidents and injuries and addresses incidents and incident reports as necessary
  • Manages and oversees the ATS Fitness Program
  • Plans and oversees fitness events, programs, and annual events
  • Responsible for designing promotional materials and coordinating with Communications for campus marketing
  • Updates monthly calendar, publications, and announcements and is responsible for communicating these to the Asbury community
  • Oversees the Group Exercise program and is responsible for auditions and hiring for Group Exercise instructors, contracts, and implementation of new classes and programs
  • Alongside Student Workers, tracks weekly and monthly program attendance and revenue and is responsible for payment of instructors and personal trainers
  • Coordinates bi-weekly mass emails, promo videos and marketing for ATS Fitness social media
  • Plans and coordinates semester schedules with Asbury University Deans and staff for reciprocal “Asbury Group Fitness” program
  • Maintains client spreadsheets and client payment system of personal trainers on staff
  • Maintains website design, updated information and event announcements, team biographies, etc. on the Asbury Theological Seminary Fitness website
  • Responsible for weight room, cardio room, and fitness studio maintenance
  • Coordinates with Childcare Director to schedule and provide childcare for Group Exercise classes and special events
  • Leads and oversees the entire Fitness University Program and application process, researches and writes on speaking topics, and teaches or hosts all Lunch and Learn sessions
  • Coordinates the Intramural Program
  • Plans and coordinates intramural sports, scheduling, special events, and gymnasium reservations for each semester
  • Oversees and meets weekly with Intramural Assistant
  • Assists in writing and/or revising the Intramural Program Rulebook and Handbook for each sport as needed
  • Assists in player drafts, referee and scorekeeper scheduling and training, and captains’ meetings as needed
  • Communicates and coordinates with Asbury University Intramural Director to synchronize Seminary and University intramural scheduling
  • Oversees Intramural Program marketing and social media
  • Addresses unsportsmanlike conduct, official rule changes, and incidents or injuries alongside the Intramural Assistant
  • Tracks semester attendance and is responsible for payment of referees and scorekeepers
  • Coordinates the Wesley Waddle 10K/5K
  • Coordinates the entire operation and logistics of planning and preparation, race route development, marketing, advertising and race day production
  • Creates, designs, and maintains online and paper registration, sponsor request packets, and race website
  • Oversees designing, sourcing, and ordering of race apparel, awards, signage, and swag bags
  • Recruits and trains the entire Race Crew team and course ambassadors
  • Manages race budgeting and sponsor requests and oversees sponsorship teams and marketing teams
  • Works alongside the Business Office, the City of Wilmore, and other entities for race insurance, timing services, route security, etc.
  • Serves as the main contact for participants, sponsors, partners, and volunteers

Other Responsibilities

  • Coordinates and schedules CPR/First Aid Training for all Student Services teams
  • Works alongside Director of Student Services for student disciplinary actions or responses to violations of Student Center policies

Financial Responsibility/Authority

  • Sets and manages the entire annual operational budget for the Student Center and all affiliated programs and events
  • Responsible for bi-weekly deposit of Student Center income and maintenance of Income Transmittal Forms
  • Responsible for overseeing daily income log of Student Center revenue
  • Responsible for maintaining spreadsheets for and payment of personal trainers and Group Exercise instructors
  • Responsible for approving timesheets and recording completed hours for Hospitality Assistants, Fitness Assistant, and Intramural Assistant
  • Responsible for maintaining client payment spreadsheets for personal training program
  • Maintains receipts and reimbursements
  • Maintains detailed expenditures for event budgets

Student Center Team Leadership

  • Manages the hospitality team of student workers and is responsible for hiring, training, shift scheduling, and staff meetings
  • Manages team of certified personal trainers, Group Exercise instructors and other supporting fitness team roles and is responsible for hiring, scheduling, certification updates, team meetings and trainings

  • Bachelor’s Degree Required
  • Competency in Microsoft Office and general computer efficiency required
  • Must possess aptitude in team management, leadership, and administration
  • Must possess a high degree of excellence for program management, organization, event planning, advertising and working well with multiple departments
  • 2-3 years prior leadership experience in communications, management, or fitness/health and wellness field preferred
