**Job Summary:**
The Events Coordinator will be responsible for planning, organizing, and overseeing birthday parties and events at our venue. This role requires exceptional customer service skills, attention to detail, and the ability to manage multiple tasks efficiently. The ideal candidate will have a passion for creating memorable experiences and a strong background in event planning or coordination.
**Key Responsibilities:**
- **Client Consultation:** Meet with clients to understand their needs, preferences, and vision for their event. Provide recommendations and ideas to enhance their experience.
- **Event Planning:** Plan and coordinate all aspects of birthday parties, including themes, decorations, entertainment, catering, and activities.
- **Vendor Management:** Liaise with external vendors, such as entertainers, caterers, and decorators, to ensure timely delivery and setup of services.
- **Budget Management:** Develop and manage event budgets, ensuring cost-effective solutions while maintaining high-quality standards.
- **Scheduling:** Coordinate event schedules, including booking the venue, arranging setup and teardown times, and ensuring all staff and vendors are informed of timelines.
- **On-Site Coordination:** Oversee the setup, execution, and teardown of events. Ensure everything runs smoothly and address any issues that arise promptly.
- **Customer Service:** Provide exceptional customer service throughout the planning process and during the event. Address client questions, concerns, and special requests with professionalism and enthusiasm.
- **Administrative Tasks:** Maintain detailed records of all events, including contracts, payment schedules, and client communications. Prepare reports and updates for management as required.
- **Marketing Support:** Collaborate with the marketing team to promote the venue and its services. Assist in creating promotional materials and participating in marketing events as needed.
- **Team Collaboration:** Work closely with other team members, including event staff, to ensure a seamless and cohesive event experience.
**Qualifications:**
- Bachelor’s degree in Event Management, Hospitality, Business Administration, or a related field preferred.
- Proven experience in event planning or coordination, preferably in a hospitality or entertainment setting.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and handle multiple events simultaneously.
- Creative problem-solving abilities and attention to detail.
- Proficiency in Microsoft Office Suite and event management software.
