Full Job Description
Build your HR career by working for the Chief Human Resource Officer (CHRO) and HR Leadership team at TMHCC. The right person for this role will provide advanced and confidential operational support to the CHRO and HR leadership team.
The executive assistant is responsible for accomplishing the following assignments and these assignments are varied in nature.
Provide Chief Human Resource Officer (CHRO) with advanced and confidential operational and clerical support.
Coordinate CHRO’s schedule, make appointments and establish agendas. Arrange and coordinate business travel for CHRO.
Screen CHRO’s phone calls and incoming mail and review incoming mail, requests for action or information and route to the appropriate staff member for action. Respond on behalf of the CHRO as appropriate.
Prepare all CHRO expense reports
Responsible for all aspects and logistics of event planning regarding the HR department or large group gatherings.
Develop, revise, and update complex spreadsheets.
Compose and/or prepare correspondence, quarterly and other reports, agreements, presentations, and other confidential documents.
Maintain and frequently update databases that the CHRO and HR Leadership use in their daily activities.
Prepare and disseminate information between CHRO and staff. Follow up on aspects of various projects to ensure projects are completed in accordance with CHRO’s direction.
Analyze reports and analyze data from the HR systems for management reporting and HR support.
Manage HR calendar including coordinating meeting schedules, conference calls, and related activities.
Prepare correspondence and documentation for HR including policies, procedures, memorandums, letters, and notices.
Oversee technical aspects of the department’s expenses, including preparing departmental invoices for Accounts Payable, reconciling monthly HR department credit card statement; verifying budget amounts, and reconciling overall HR expenses to the budget.
Advise employees regarding general HR Policies and Procedures or forward inquiry to appropriate HR staff member as appropriate.
May conduct various analytical special projects and preparations for senior management and/or other high-profile meetings.
Conduct confidential analytical projects on areas such as HR metrics by utilizing multiple departmental tools and applications including internet research to prepare reports.
Follow work plans, established timelines, and pre-defined goals for assigned work.
Meet commitments on deadlines.
Communicate activities, results, and observations with employees and management as appropriate.
Identify areas for improvement in existing business practices.
Perform work thoroughly in a cost-efficient manner and at a high productivity level.

Report any breakdowns in controls to management.
Conduct all activities in a safe manner.

Position Knowledge, Skills, and Requirements
Bachelor’s degree in Human Resources, Business, a related field, or the equivalent education and/or experience
Minimum of two years of relevant and progressive professional experience in Human Resources
Working knowledge of HR departments and functions
Possess and have ability to apply knowledge of principles, practices, and procedures
Excellent written and verbal communication skills with an emphasis on confidentiality, tact, and diplomacy
Advanced organizational and analytical skills; demonstrated ability to manage multiple tasks simultaneously
Intermediate proficiency and experience using Microsoft Office365 (Excel, Teams, PowerPoint, Word, Publisher, Visio)
Knowledgeable of industry changes, legal updates, and technical developments related to applicable area of the Company’s business to proactively respond to changing business environment
Working Conditions and Physical Demands:
Overtime hours may be required to fulfill job responsibilities
May require travel outside normal work location up to no more than 10%
May require a valid passport
May require a valid driver’s license
May be required to remain stationary for extended periods of time
May be required to move up to 10 pounds
Must be able to operate a computer and other devices
Close vision and ability to adjust focus, such as required to read a computer screen
