We are looking for an experience Executive Assistant/Office Manager to join our team!

The Executive Assistant/Office Manager who will be successful has administrative support experience in a professional environment, and a track record of success supporting executives, managing day-to-day operations of a busy office.

Essential Functions:
Analyzes administrative operations and makes improvement across the business.
Prioritizes and manages office expenses.
Oversee and coordinate all of the offices administrative activities including organizing meetings and managing databases, and communicate effectively with staff, vendors, and clients.
Ensures the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
Supervises the maintenance of office equipment, including copier, fax machine, etc.
Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
Purchases food and beverages for the office while being mindful of cost and inventory.
Ensures shared working spaces (conference rooms, kitchen, and copy area) are neat and tidy.
Is a liaison between the building and company business.
Processes expense reports.
Coordinates travel as requested.
Greets visitors and situates them in the correct meeting room.
Manages the reception area to ensure effective telephone and mail communication both internally and externally to maintain professional image.

Qualifications to be successful in this role:
5 years of experience in an administrative role.
Bachelor's degree in business, communication, or another related field.
Experience supporting a mid-sized office environment of more than 50 people.
Proficiency using Microsoft Outlook, Word, and Excel.
Experience supporting several executives in an administrative capacity.
Experience working in the banking, legal, marketing, or professional services industry.
