We are currently looking for a Part-time Rehab Office Coordinatorfor our PT at the JCC office.
JOB SUMMARY:
The Office Coordinator is responsible for the scheduling of patients, registration of new patients, verification of payer sources and other related billing information, entering all demographic information into EMR, plans/directs/coordinates the supportive services of the Outpatient Rehabilitation Services such as mail distribution, faxes, telephone operator/receptionist, transportation arrangements via van or transport assistance, and other support services. This position is responsible for all clerical duties related to maintaining the operations of the Outpatient Rehab Department.
JOB DUTIES / RESPONSIBILITIES:
- Schedules patients for all clinical services both on-site and in home based rehab sites.
- Functions in the role as the receptionist. Receives all calls related to outpatient rehabilitation services and determines the nature of business; directs calls to the appropriate destination.
- Greets outpatients to the clinic and takes appropriate information for registration and billing purposes.
- Assembles and organizes new admission charts. In addition maintains the patients’ files in the established order.
- Collects and distributes mail and messages.
- Registers new outpatients in Rehab Optima system upon admission to the clinic.
- Verifies insurance information via appropriate carriers and obtains authorizations/ recertifications when needed for treatment.
- Plans transportation for outpatients when needed via the van driver’s schedule or the transport schedule. Assists with the transporting of patients to and from the assisted living facility, senior high rise, and adult day care, as requested.
- Collects Co-pays and private pay at time of patient visit.
- Maintains an accurate daily patient census of each location.
- Discharges patient episode from Rehab Optima when treatment completed.
- Types basic correspondence to patients and/or other information.
- Assists therapists with tracking and completion of initial and re- credentialing processes with the various insurance providers. Maintains credential files for all professional therapy staff as required.
- Uses interpersonal skills effectively to build and maintain cooperative working relationships with all staff, patients, and referral sources.
- Maintains a profession standard of conduct, projecting a positive image of the Outpatient Rehabilitation Program at all times.
- Complies with infection control and safety policies/procedures.
- Performs additional duties as assigned.
REQUIRED EDUCATION, TRAINING AND EXPERIENCE:
- High school graduate or equivalent with a minimum of five years office experience.
REQUIRED SKILLS AND ABILITIES:
- Knowledge of Insurance Programs and medical terminology
- Excellent customer service skills
- Excellent interpersonal skills/communication skills
- Basis computer skills
- Working knowledge of basic clerical functions
- Ability to maintain confidentiality of information
- Ability to write routine correspondence or reports
PHYSICAL REQUIREMENTS:
- Lifting: Regularly lifts and moves patients, equipment, patient supplies. Frequently lifts up to 40 pounds. Occasionally lifts and moves patients unassisted up to 50 pounds.
- Carrying: Carries medical supplies, and other items, weighing up to 30 pounds.
- Pushing/Pulling: Pushing and pulling is required when administering patient therapy and care.
- Climbing: Ability to use stairs, curbs, and walkways in order to access patient’s functional abilities.
- Bending: Required when administering patient care.
- Reaching/Turning/Twisting: May be required when administering care.
- Repetitive Motions:
- Hands: required for certain aspects of patient care such as simple grasping, fine manipulation.
