The New York, New York office seeks an accomplished Administrative Assistant to provide administrative support to attorneys on a variety of tasks, including but not limited to, handling telephone calls, front desk duties, client appointments, scheduling, ordering supplies, facilities and maintenance related tasks, document preparation and various office duties. Successful candidates will be proactive, meet deadlines and communicate effectively.
Responsible for providing assistance to the team which consists of the secretaries and timekeepers as well as performs a variety of duties and others deemed appropriate. The Administrative Clerk will maintain an open line of communication with the Human Resource Manager regarding assignments and projects.
ESSENTIAL DUTIES AND RESPONSIBILITIES: “Essential functions” are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.
Performs all functions related to receiving calls, clients, vendors and deliveries and directs them to appropriate individuals within the firm according to established policies and procedures.
Provide assistance to supervising attorney with projects deemed appropriate.
Received and routes telephone calls via multi-line phone system, communicating with professionalism, respectfulness and tact.
Greets clients and visitors and contacts appropriate individual or directs them to proper conference area.
Schedules use of conference rooms, noting special equipment or refreshment requirements.
Report any building maintenance issues to building management.
Order and keep track of office supplies as well as beverage and kitchen supplies.
Make reservations if needed.
Create a positive “will-do” attitude.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Spelling, diction, and grammatical skills equal to or above a level normally acquired through successful completion of a high school or general education degree.
Organizational, prioritization, proofreading, and attention to detail skills to allow for timely, effective, and accurate performance of job duties with little or no outside assistance.
Interpersonal skills necessary in order to communicate with a diverse group of attorneys, staff, vendors and clients and to provide or obtain information with ordinary courtesy, diplomacy and tact.
Accurate typing ability of 50 wpm and comprehensive computer and office equipment experience.
Work occasionally requires more than 40 hours per week to perform the essential duties of the position.
Work requires sitting, bending, stooping, computer keyboarding and continuous use of the hands, telephone contact, reading, and may require lifting of 40 - 50 lbs. or more.
Under certain circumstances the Firm may substitute experience for educational requirements and vice versa.
Flexibility in daily schedule to accommodate unexpected crisis situations resulting from attorneys, paralegals, and secretaries work needs is needed.
Ability to communicate concerns to HR Manager.
