Summary
Secure, monitor and follow up on hotel room pickups (actualized rooms). Generate monthly reports and audits. Logs and processes compliance reporting.
Scope

No direct reports. No budgetary responsibility.

Reporting and Working Relationships

Reports to Manager, Strategic Sourcing Services. Works closely with Account Managers and Housing Specialists. Daily interaction with hotel suppliers.

Primary Responsibilities

Calls hotels before group departure for hotel contact information. Continues communication with hotel contact until pick-up is complete and received. Manages room pick up information for accuracy and saves to Inform CRM. Obtains and analyzes supporting documentation. Resolves discrepancies with back up revenue information. Enters actual revenue and total pickup for hotel/supplier commissions and all Client Service Products in CRM database. Assists with data change requests. Provides assistance in other areas as needed.

REPORTING: Manages reports related to room pick up and revenue. Ensures monthly compliance reporting and follow-up.

Qualifications

1. Bachelor degree or equivalent work experience required.

2. Prior experience in hotel sales coordination, hotel front desk or administrative/coordinator experience desired.

3. Strong phone/customer service skills. Must be comfortable taking initiative and reaching out to suppliers and various departments to resolve discrepancies.

4. Strong analytical skills and excel skills, including ability to write formulas required.

5. Must be self-motivated and be able to handle fluctuations in workload and multitask while meeting project deadlines.

6. Professional written, verbal and interpersonal communication skills.

7. Ability to work cooperatively in team atmosphere.

8. Knowledge of hotel group blocks preferred.
