This position will support and assist the Project Manager with Customer Service, Contract Administration, Scheduling, and Financial Success of all jobs assigned as defined below:

o Assist with the development of new business opportunities relative to a particular client, group of clients or type of project with close coordination with marketing.
o Assist as a liaison between Company and the Customer.
o Conduct frequent correspondence and keep an updated and accurate job file.
o Assist the Project Manager in overseeing shop drawings, and submittals.
o Ensure the overall quality of the job.
o Ensure that safety procedures are followed.
o Prepare change orders on a timely basis.
o Assist in the coordination of job requirements directly with management/supervision.
o Supports the Project Manager by assisting in pre-job, post-job and weekly project coordination meetings with a prepared agenda; distribute meetings notes to all meeting attendees.
o Helps communicate delays in production, and changes in delivery to the customer.
o Assist in preparing and maintaining the Job Schedule
o Hold periodic planning and review meetings with Department Managers, Estimating, Engineering etc., to brainstorm ideas, review costs, schedules, etc.
o Assist in the coordination of subcontract award and material purchases with the Purchasing department.
o Submit reports as requested concerning the Project ManagerÃ¢â‚¬â„¢s individual jobs to the Executive Staff. These reports include hours estimated vs. actual hours worked, estimated dollars vs. actual dollars, and change orders.
o Supports the Project Manager by information for billing each month to Accounting and ensure that Accounts Receivable billings are properly submitted and collected according to contract terms.
o Ensure all corporate documentation is complete and up to date, and review job cost reports.
o Assists the Project Manager by providing, review and monitor labor costs and projections with Department Managers.
o Responsible for effective and quick job closeout.

Requires eyesight correctable to within normal range to read numbers, reports, and to view computer terminals.

Experience Knowledge, Skills and Abilities:

- Knowledge of materials used in a fabrication and machine shop environment.
- Advanced knowledge of blue prints and geometric tolerancing.
- Ability to produce quality reports that are well organized, clearly stated, concise, and in a timely manner.
- Advanced skills in contract documentation and administration.
- Ability to take accurate minutes of formal and informal meetings with customers and team members.
- Ability to hold other team members accountable to their commitments including quality, time, and budget.
- Possess interpersonal communication and problem solving skills, finder fixer.
- Must be an advocate of the company vision and mission statements, team player.
- Good writing skills with experience in business writing.
- Computer skills i.e. Microsoft Office, Project, Power Point, etc.
High School Education or GED preferred. One to three years experience in contract administration with working knowledge in the following areas: budget management, forecasting and/or analysis of government and private contracts. (Substituted with equivalent years experience in supervising/overseeing fabrication and machining projects and interfacing with customers, suppliers, and team members.)
