We have an opportunity for an Administrative Assistant with a philosophy and vision focused on assuring accurate administration and operational performance. This ad will remain posted until this role is filled. This office-based position reports to the Director of Business Processes. The ability to communicate face-to-face, by phone, and digitally is essential. Interpersonal skills relating to customer service are necessary, as well as a high level of comfort utilizing a variety of computer interfaces and software including word processing, spreadsheets, databases, internet, and email. High administration and critical thinking skills are required and demonstrated organizational and problem-solving skills are needed. Primary Function

This position acts as support to Quality Built Departmental Managers and reports directly to the –Director of Business Processes.

This is a non-exempt position.

Specific Duties

  • Provides assigned administrative assistance to the company, including typing, information research, filing, marketing and trade show tasks, data entry, as assigned by the Office Manager or other assigned personnel.
  • Performs word processing activities, including but not limited to formatting, proofing and creating reports, utilizing the Corporate Standards Guide.
  • Answers multi-phone lines and transfers appropriately
  • Trains administrative staff using Work Instructions, as necessary.
  • Adheres to company policies, processess and work instructions.
  • Revises processess, work instructions, forms, etc. as necessary.
  • Receives, logs, and processes new and revised document requests.
  • Performs process monitoring of department procedures, work instructions, forms, etc., as necessary.
  • Maintains performance testing equipment inventory and logs.
  • Check in/out performance testing equipment.
  • Performs proofing on all deliverables and records the inspections.
  • Purchases office and field supplies as necessary.
  • Handles courier shipping and receiving, incoming and outgoing USPS.
  • Performs peer reviews on reports proofed by others.
  • Performs credit card reconciliations.
  • Purchases new hire equipment and maintains inventory.
  • Other duties as assigned by supervising manager, upper management, executives.

Education and Skills Requirements

  • Two-year college degree in business or related field, and a minimum of 3 years of experience in an administrative capacity.
  • Advanced computer knowledge and experience in all Microsoft Office programs.
  • Excellent verbal and written skills required.
  • Advanced proofing skills.

Machines, Tools and Equipment

Must possess the ability to use a personal computer daily, as well as the Internet, scanner, telephone, calculator, copy machine, fax machine, and other pieces of office equipment as needed.

Physical Requirements

Sitting, standing and walking in an office setting. Lifting up to 30 pounds may be required. Assistance must be requested for lifting more than 35 pounds.

Standard Work Hours

Normal business hours (8:00am to 5:00pm). Overtime required only upon approval by supervisor.
