As an office manager/customer service representative, you will have an opportunity to directly impact the success of the clinic.

Responsibilities included, but not limited to:

  • Greet patients in a welcoming environment
  • Schedule patient appointments
  • Verify patient insurance coverage, and follow up on benefits/authorizations
  • Place outbound calls to new and former patients for building business and scheduling follow-up hearing tests and consultations
  • Identify and assess patients; needs to achieve satisfaction
  • Provide accurate, valid and complete information by using the right methods/tools
  • Handle patient complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution
  • Keep records of patients interactions, process customer accounts and file documents
  • Follow communications procedures, guidelines and policies
  • Take the extra mile to engage patients
  • Input information into PMS (patient management system)
  • Clean and maintain equipment and instruments
  • Effectively manage inventory


  • Must have minimum 6 months customer service and medical experience
  • Track record of over-achieving quota
  • Strong phone contact handling skills and active listening
  • Customer orientation and ability to adapt/respond to different types of characters
  • Excellent communication and presentation skills
  • Ability to multi-task, prioritize, and manage time effectively
  • Must be organized

Your proven ability to interface with patients and clinic personnel in a professional way will be critical to your success. Knowledge of insurance billing and processing will also make your resume stand out. Your ability to multitask and stay organized will be an essential part of your daily performance. This position is a great introduction to the hearing healthcare industry.
