The Maryland-National Capital Park and Planning Commission, Prince George's County Department of Parks and Recreation, Management Services Department, Office Services Unit is seeking candidates for the position of Mailroom Specialist. The ideal candidate should be detail oriented, have excellent customer service and communication skills, be punctual and enjoy working with people.

The primary responsibility of the Mailroom Specialist is to process the scheduled work via the instructions and tools available. Applicants will manipulate data files, perform purge/cleaning and create output files, data and list mailing reports, and will write programming code, as needed. Candidates are expected to use specific direct mail utilities. This position works directly with other team members to ensure quality-control standards are being followed and customer objectives are met. Will participate in process assessment, redesign and innovation initiatives to bring focus and efficiency to work assigned. Salary is dependent upon experience.

Preferred candidates should have the following:
Experience in data list processing and mail list programming.
Knowledge of USPS rules and regulations.
Knowledge of nonprofit status, permit information and other pertinent information.
Knowledge of data processing, print technologies, production processes and mailroom work flow processes.
Excellent skills in the use of appropriate computer software applications and producing/manipulating electronic files.
Excellent organizational and communication skills, both written and verbal.
Strong ability to project manage, set priorities and meet deadlines in a fast-paced environment.
Strong analytical skills.
Must be a team player with strong people skills and the ability to adapt to changing situations and deadlines.
Willingness and desire to learn new skills.
Professionalism; ability to problem-solve.
Examples of Important Duties
Analyzes client-supplied data prior to job processing. Ensures job tickets contain all information needed to properly work the job.
Uses the appropriate software programs and utilities to accurately complete the work.
Performs programming and support activities, including program coding, creating new and revised programs with more effective language codes, processing routines, report generators, hardware use and use of database management techniques as needed.
Processes mail list data to include, importing, processing and output of customer mailing lists.
Manipulates data for mail processing and/or variable data printing.
Creates MIDs/CRIDs and prepares paperwork for mail delivery.
Responsible for inkjet and digital address layouts.
Works with digital operation on variable data format and design.
Responsible for mail piece design and postal regulations to include daily use of USPS PostalOne! website, mail piece design expertise, mail preparation (i.e., tabbing, tray, sacking, palletization, etc.), address format and placement, and mail classes, mail types, indicia and return address specifications.
Coordinates job processing flow with operators and other manufacturing teams to promote best work flow.
Responsible for drop-shipping setup to include evaluating mail files, setup transportation for drop-shipping (i.e., courier, FedEx, Airways), make drop-ship appointments and coordinate priority mail open and distribution.
Tracks through different vendors to include mail files, tracking codes and supply reports to clients on tracking results.
Reviews list and data process for quality-control purposes.
Communicates with the appropriate departments to provide job status information.
Performs pre- and post-job activities. Compares input data to output data to ensure integrity in processing. Saves and archives all data department procedures (i.e., downloading, archiving, recording, etc.).
Adheres to established quality-control procedures.
Completes all paperwork and reports for downstream work centers and departments.
Minimum Qualifications
Associate degree in computer science, business administration or related field, or equivalent training and/or experience preferred.
High school diploma or GED required.
Supplemental Information
This is a active position. The person in this position needs to be comfortable using a variety of office production machinery including but not limited to; a computer/laptop, calculator, large copy machine and computer printer.
This position may require the applicant to remain with the machinery during long periods of operation.
This position requires applicant to lift minimum of 50 lbs.
