ColonialWebb is seeking an experienced and friendly Service Coordinator to join our Building Service team in Richmond. In this role, Service Coordinators perform scheduling, dispatching, and purchasing for customers and Building Service Technicians.

What you ll do:
Schedule service calls and dispatch appropriate technicians.

Assist with resolving customer questions or complaints with guidance from the Operations Manager and the Building Service Unit Supervisor.

Schedule inspections, dispatch an appropriate technician and communicate necessary information regarding the inspection requirements.

Develop daily and weekly plans to ensure that all work is scheduled correctly, ensuring we meet our obligations to customers.

Meet with Service Manager and Building Services Unit Supervisor to review scheduled work, identify service issues, and determine the plan of action to ensure all open tickets are completed.

Schedule approved quoted work and order materials necessary to complete work on time.

Issue purchase orders for material and rental requirements as requested by field technicians and track shipment to ensure timely job completion.

Provide timely response to the Customer Service Representatives regarding collection issues.

Advise Operations Manager, Service Manager, and Building Service Supervisor when service personnel is unable to meet workload requirements, are having difficulty solving a service problem or fail to meet Maintenance Agreement working hour estimates.

Advise Building Service Unit Supervisor of technicians/coordinator problems, cases where a technician fails to report work, or respond to a call.

Communicate effectively with customers to schedule work, provide updates on repairs and maintenance visits, resolve service issues, and any other duties necessary to provide the customer with excellent service.

What we re looking for:
Current or previous work experience scheduling and dispatching for an industry related building services contractor (preferred, not required).

General understanding of HVAC equipment and systems (preferred, not required).

Ability to work a flexible schedule including overtime (when necessary).

Ability to manage customer relationships, perceptions and expectations.

Skillful listener, with excellent communication, interpersonal, and customer service skills.

Ability to handle a fast-paced workload and work under pressure with last minute time constraints.

Ability to coordinate and perform multiple tasks accurately and promptly.

Demonstrated skills, experience, and proficiency with MS Office, CRM systems, and Internet use.

Detail oriented, with excellent organization and follow-up skills.

Initiative; self-motivated (driven), self-starter.
