Support the Director of Meetings and Events with the coordination of member, non-member and other meetings handled through the Meetings Department.
Provide on-site support at meetings, including setting up and maintaining a registration desk, materials display, and office.
Attend some hotel site visits with the Director of Meetings and Events.
Take the lead in creating Banquet Event Orders for various meetings.
Coordination of all meeting department shipments. This includes keeping a copy of the actual shipping list in the meeting file/s.
Ensure that all needs of speakers and VIPs are met, including hotel rooms, ground transportation, AV check calls, etc.
Work with Marcomm to update websites with speaker bios/pictures, hotel info, agenda updates.
Research and reconcile event bills and invoices as required.
Support the Director of Meetings and Events with creation of signage at all meetings.
Support Director of Meetings and Events with planning staff holiday party and other staff events.
Create, review and test Cvent Meeting registrations.
Ensure that necessary meeting files are created and maintained throughout the year.
Support Show Department on various PACK EXPO projects as needed pre-show and onsite.
Support Director of Meetings and Events in creating Budgets at the end of the year.
Take the lead on PMC Meetings - Book hotels and finalize BEO's. Work with Event Assistant to put together shipment and setup registration.
Create and update apps for various meetings and continue maintenance after app is created.
Qualifications and Education Requirements:
4-year college degree or equivalent, preferred.
2-5 years of professional experience in meetings / events. Strong work ethic, competitive drive and collaborative attitude.
Commitment to quality and detail.
Self-starter, able to work independently.
Flexible, a team player who can adapt to changing program needs.
Able to balance several projects at once and thrive in a fast-paced environment.
Solid organizational skills.
Must possess excellent computer skills including advanced knowledge of Microsoft Suite
Knowledge and comfort level with an Association Management System or events registration software. (Cvent preferred).
Must be available to travel.
