Role Summary:
The Administrative Assistant will fulfill all administrative duties for the President of Marketing, as well as interact and coordinate with other employees in the department, and more broadly across the company.

Essential Responsibilities:
Assist with correspondence between President and filmmakers, outside agencies, vendors, and departments
Maintain, organize, and update all A/V and paper records for President, including publication library, film project library, and document management
Assist the marketing team staff in aggregating materials to President
Assist in creating and processing purchase orders and invoices
Coordinate scheduling and planning marketing related screenings
Attend various meetings with President as requested and coordinate agendas and meeting minutes
Coordination of filmmaker meetings
Create impactful Power Point presentations for department as needed
Coordinate the Marketing department Internship Program, including hiring, overseeing, and evaluating interns
Administer clerical duties such as word processing, calendar/scheduling, travel planning, expenses, filing and covering heavy phones
Become familiar with details of campaign in order to become a team participant
Interact with department employees to facilitate the completion of all duties and responsibilities

Qualifications/Requirements

Basic Qualifications:
Minimum 2 year of demonstrated successful organizational skills and ability to prioritize in an Assistant role
Minimum of 2 years of entertainment industry work experience in film, marketing, publicity, promotions or agency required
Strong computer skills in: Windows, FileMaker Pro, Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), be able to operate a PC and know how to perform extensive Internet research
Strong writing and communication skills required
Work flexible hours to assist all needs of President

Eligibility Requirements:

Desired Characteristics

Bachelor’s Degree required, preferably in film, marketing/business or communications
