Position Title Police Records Coordinator Additional Information Grade 10 New Hire Rate 15.69 FLSA Non-Exempt Hrs/Week 40 Pre-Employment Screening Requires successful completion of a background check. Position Function
Manage all police records and official documents including hard copies and computerized case files; coordinate the recording and posting of statistical data in accordance with federal government regulations; serve as New World LERMS administrator for Department of Public Safety; facilitate the distribution of official documents to the local criminal justice system and the public; serve as primary receptionist during regular business hours.

Minimum Education
Associate’s degree or equivalent in business or computer related field.

Minimum Experience
Over one through three years of experience in office administration, computerized record keeping, or related field.

Authorization to work in the US Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship. Preferred Education
Bachelor’s degree in business, management information systems, or related information technology field.

Preferred Experience
Police records division office or similar computerized record keeping experience.

Process daily reports, extract information for critical reporting, and ensure accuracy; includes review all daily BSU police reports and communicate with officers to ensure accuracy (Initial Case Reports, Follow-up Reports, Supplemental Reports, Property Reports, Arrest Reports, Indiana Crash Reports, Juvenile Referrals, Prosecutor’s Summaries, Uniform Criminal and Traffic Citations, etc.); generate media report for newspapers and radio stations; produce administrative report for certain offices on campus (i.e., V.P., Student Affairs, Student Rights and Community Standards, Legal Services); enter criminal citations; enter city parking tickets and send to City Clerk’s Office.

Classify campus crime data and submit the information to the Director of Student Rights and Community Standards for the annual report to the U.S. Department of Secondary Education in compliance with the 1990 Campus Crime/Right to Know Act; extract data based on their specifications.

Receive and process subpoenas from the courts and forward the requested documents to the court, prosecution, or defense as required; notify BSU officers and supervisors of court dates and provide copies of case file; expunge records from both computerized and hard copy files as ordered.

Assign and review work of student employees on all procedures related to the data entry, filing, distribution of reports, and greeting the public; orient and train, and make recommendations as to interviewing and selection, performance appraisal, and discipline; coordinate computerized data entry of police reports by entering information into the system or assigning data entry tasks to student employees.
