We are a fast growing HOA management company in Irvine looking for the right person to join our team. This person must be friendly, dependable, a team player and must have attention to detail to process mailing of documents. General Responsibilities:

  • Process mail outs
  • Scan and save in association folder
  • Distribute copies of mail out to appropriate parties
  • Director Reports
  • Print copies and Bind
  • Mail to Board Members
  • Billing Insert Processing
  • Copy for Management Billing
  • Mail out to residents if applicable
  • Scan and save in association folder
  • Distribute accordingly
  • Stamp outgoing mail and take to post office
  • Backup Receptionist/Front Desk daily
  • Maintain Office Equipment
  • Ensure all machines are filled with paper daily and add toner when needed
  • Ensure proper maintenance for machines are being met and be primary contact for vendors
  • Maintain Inventory of Supplies
  • Update and monitor inventory for all office supplies and maintain organization of supply-room
  • Backup for opening, sorting, and distributing mail when Receptionist is out
  • Maintain inventory of office forms including but not limited to: Billing Insert Form, Asyst Insert Form, Mail Out Form, etc.
  • Assist other employees with any projects
  • Bind Marketing Proposals
  • Update Employee Mailboxes with employee changes (new and exiting)
  • Inspect Conference Rooms DAILY to ensure they are neat and clean and snack basket is filled
  • Check coffee areas DAILY to fill machines with water (must be kept full) and fully stocked coffee pods and supplies
  • Clean coffee machines with cleaner every quarter
  • Maintain entire office in a neat and orderly fashion, as well as, prepare for potential client walkthroughs ensuring office looks presentable to include watering the plants within the office
  • Unpack supplies, kitchen and snack orders and place them where they belong – kitchen supplies, snacks, office supplies, etc. Areas would be filled and extra stock would be stored. Track stock and notify Nicole when items are low.
  • Print and post listing of Federal Postal Holidays at beginning of each year (post by mailbox and postage meter, email to all employees and note on Board Calendar and Master Calendar)


  • MS Office – Excel, Word, Outlook
  • Operate Office Phone System – voicemail, call transfer, call hold, call park, and conference call
  • Operate Office Equipment – copy machines, fax machines, postage meter, envelope stuffing machine, and other general office equipment
  • Type 55+ wpm minimum
  • Asyst operating system
  • Valid Driver’s License

Job Type: Full-time

Salary: $14.00 to $16.00 /hour
