Job Description:

The Special Events Assistant will maintain the Special Events department database, including updating all contact information, organizing appropriate invitation lists using The Shed-approved protocol, routing lists and invitations for approval to departments and senior staff, tracking all responses, updating event managers, and producing final door lists. The ideal candidate has meticulous attention to detail and an interest in event planning within the nonprofit cultural sector. Administrative event planning experience is a plus.

Key responsibilities include, but are not limited to:

  • Maintains Special Events web pages on theshed.org
  • Updates and maintains the department’s event coordination schedule, remains in constant communication with event managers to ensure that events are on the calendar, and works with the director to assign a point person
  • Assists with administrative duties for all aspects of The Shed’s major fundraisers, rentals, and programming opening events
  • Assists director with events and coordinating materials for board meetings and all other meetings with board members, corporate event sponsorship partners, and all other high profile partners of The Shed
  • Assists the director and the department with daily administrative needs including office organization, scheduling and preparing materials for reoccurring meetings, answering phones and emails
  • When appropriate, represents the Special Events department and coordinates with other departments at The Shed, including Membership and Development, Operations, Security, Programming and Production to reinforce transparent communication and ensure meticulous coordination within the building
  • Performs any other duties reasonably related to the functions described above

Qualifications and Qualities:

  • Bachelor’s Degree required
  • At least 2 years relevant experience providing administrative support and event coordination or equivalent
  • A demonstrated ability to work collaboratively as part of a highly motivated, energetic team
  • Meticulous attention to detail and highest quality execution in all situations
  • Ability to multi-task, work well under pressure and in a fast-paced environment is required
  • Must maintain the highest level of ethics and integrity
  • Excellent computer skills necessary, including EXCEL, Word, Office and Google Platform
  • Able to work flexible work schedule to accommodate business needs

Compensation:
