Full Job Description
Work under the guidance of the Program Manager in the Center for Global Health to facilitate processing of nonimmigrant visa sponsorship cases, including J-1 exchange visitors, F-1 students, and H-1B employees. Provide guidance and assistance to foreign national beneficiaries and MUSC personnel. Maintain immigration-related databases, including various filing systems and digital case processing software programs. Assist in developing and implementing procedures to ensure institutional compliance with federal immigration regulations. Other departmental duties as necessary. Reports directly to the Program Manager.
30% - Assist and facilitate processing of visa sponsorship requests, including J-1 exchange visitors, H-1B employees, and F-1 students. Collect, review and assemble documents and information from foreign national beneficiaries and sponsoring MUSC departments. Assist with reviewing and appropriately configuring sponsorship requests through case processing software. Provide case-specific guidance and information to foreign national beneficiaries and sponsoring MUSC departments. - (Essential)
20% - Maintain immigration-related databases and records, including various filing systems and digital case processing software programs. Manage physical file storage, organization and records retention. Assist with public access file creation, maintenance and records retention. Serve as a Designated School Official (DSO) for F-1 students authorized by the Department of Homeland Security and as an Alternate Responsible Officer (ARO) for J-1 exchange visitors authorized by the Department of State. - (Essential)
20% - Coordinate immigration-related processes and workflow for maximum efficiency and institutional compliance. Manage collection and distribution of immigration-related documents, including managing document shipping and mailing systems. Develop additional tracking mechanisms and systems as necessary to enhance organization, efficacy and regulatory compliance. Prepare correspondence and communicate with federal agencies as necessary to ensure timely response and compliance with all requests, requirements and regulations. - (Essential)
15% - Provide guidance and support to MUSC personnel and foreign national beneficiaries. Act as point of contact for general inquiries regarding immigration sponsorship processes at MUSC and route requests. Assist with developing and deploying training materials, guidance documents and content updates. Monitor and stay current on applicable laws, policies, regulations, and procedures regarding immigration and visa sponsorship. - (Essential)
15% - Prepare, coordinate and process CGH procurement and reimbursement requests/needs. Facilitate office needs and manage procurement processes relating to supply orders, contract renewals, and other purchasing support as requested. - (Essential)
Preferred Experience & Additional Skills:
Experience in international student and scholar services (F-1, J-1) and employment-based visa categories (H-1B, TN) preferred
Experience working in a higher education setting preferred
Knowledge of internet and database tools and technology preferred
Extremely detail oriented, organized and self-motivated required
Strong computer skills, including proficiency in Microsoft Office applications, Adobe Acrobat, and various web browsers required
Excellent oral, written and presentation skills required
Ability to communicate effectively with various groups of stakeholders required
Ability to learn complex legal topics required
Ability to utilize discretion with confidential information required
Ability to analyze and resolve issues required
Minimum Experience and Training Requirements: A bachelor's degree and one year relevant program experience.
Additional Requirements: U.S. federal regulations pertaining to SEVIS require that an Alternate Responsible Officer (J-1) and Designated School Official (F-1) must be a U.S. citizen or lawful permanent resident.
