The purpose of this position is to perform a variety of highly responsible, confidential, and complex administrative duties in providing staff assistance to the Fire Chief and Command Staff. Some of the specific duties include working with People Soft HRMS to manage the Fire Medical Rescue (FMR) Department’s payroll time sheets; interpret and apply City Rules and Regulations, Tempe Memorandums of Understanding (Fire, Employee and Supervisor) , Tempe Fire Medical Rescue Department’s Policies and Procedures and Telestaff software (payroll). This position processes employee tuition reimbursement requests, creates invoices and tracks expenses for special events; coordinates travel, meeting notes, creates purchase requisitions (credit cards), deposits; coordinates development of reports, strategic plans and FMR operational guides and coordinates internal functions. In addition to People Soft and Telestaff, the following software programs are utilized: Firehouse, Visio, SharePoint, Publisher, ELM, Microsoft Office, publishing software, and Agenda Plus.
Requires the equivalent to three years of full time responsible administrative experience, preferably in a public agency.
Years of experience are based upon a full-time work schedule (2,080 hours per year). The sum of an applicant’s full-time and/or part-time qualifying work experience must meet or exceed the stated minimum qualification. Education will not substitute for the required work experience; however, related unpaid and/or volunteer work experience may be used as qualifying work experience.
Requires the equivalent to an Associate’s Degree from an accredited college or university with major coursework in public administration, business administration, or a degree related to the core functions of this position. A Bachelor’s degree is preferred.
The term “equivalent” means that directly related work experience exceeding the required work experience will substitute in equal time increments for college-level education, for example: one year of additional directly related work experience will substitute for one year of college education (30 credit hours).
Successful completion of initial probationary period is contingent upon passing an FBI background investigation. Based on position, referred applicants may be subject to additional testing which may include pre-employment polygraph, physical and drug screening.
