Job Summary:
We are seeking a hybrid remote Administrative Assistant to join our team. The ideal candidate will provide services to the Center for Medicare and Medicaid Services (CMS).
Work Schedule:
- Work hours are from 07:30 AM to 4:00 PM, Monday through Friday.
- The current hybrid work location is in the office one day per week but can change to 3-4 days in the office when instructor led training is scheduled.
Responsibilities:
- Support in-person and hybrid training operations.
- Provide logistical information to students and guests regarding trainings.
- Sign-in and escort external instructors and students when necessary.
- Address email inquiries about trainings.
- Schedule/assign training conference rooms.
- Prepare/update daily training rooms’ assignment schedule whiteboard and/or digital signage electronic board.
- Coordinate with CMS IT to ensure training technology (computers, monitors, screens, audio, visual and passwords) is operating and functioning correctly.
- Respond/collaborate with CMS IT to support instructors, CMS managers and staff.
- Organize and process vendors’ close out documents (training attendance rosters excel spreadsheet/pdf attachments) received via email.
- Perform clerical/administrative functions (close-out classes) in the Learning Management System (LMS) in a timely manner and schedule email distribution of training attendance rosters to vendors and/or the points of contact (POC) of training course.
- Organize, edit, and maintain shared files on SharePoint.
- Perform other clerical and administrative duties, as assigned.
Qualifications
- Candidate must have intermediate knowledge of Microsoft Office 365, SharePoint, Adobe Acrobat Professional and one year working experience in a Learning Management System (LMS).
