What you’ll do

In our brand new 2nd KIND HQ, you will establish and carry out a multitude of office tasks. You will be responsible for performing tasks like making coffee every day or taking out the trash, all while having a smile on your face. You will be the initial point of contact (and thus the “first impression”) for KIND’s visitors. In addition, you will assist three executives. And this is how you’ll do it…

Office Operation

Maintain conference room schedules, phone extension list, maintenance calendar, and Fun Committee Calendar
Organize and distribute parcels and packages weighing up to 50 pounds
Clean, organize, and maintain areas throughout office such as kitchen, storage area, bathrooms, conference rooms, and freight area during office hours
Weekly inventory and ordering of office supplies, kitchen supplies, cleaning supplies and other miscellaneous items as needed
Address facility emergencies as they arise and work with building staff to resolve in a timely manner
Coordinate incoming/outgoing domestic & international parcels and packages with common carriers (USPS, UPS, DHL, FedEx) and other delivery services
Perform basic office maintenance such as assembling office furniture, hanging pictures/shelves, changing water filters, and other maintenance tasks
Manage and perform tasks in accordance with the “Maintenance Calendar”
Manage and assess day to day office internal and external requests
Organize and maintain the Materials Safety Data Sheet binder
Monitor and keep updated COI tracker
Actively participate as a key member of Fire Safety Team
Work with HR and IT teams to ensure desks are prepared for new team members
Ability to research and present various options for office supplies, furniture and service providers
Upkeep “The Bar Bar” (an interactive display of 27 KIND Bar cases) as needed
Performs other functions as needed

Office Event Planning

Coordinate office events to include, but not limited to monthly birthday celebrations, lunch and learn events, happy hours, and team building actives. Many events will need to be brainstormed, planned, and executed with advisement from Office Team, Human Resources and Fun Committee
Set up and tear down of office events to include monthly birthday celebrations, lunch and learn events, happy hours, and team building activities
Plan and adhere to office fun budget as set by the Sr Manager, Office Operations and Experience


Professionally manage the switchboard by screening and directing incoming calls
Greet & sign in visitors and arrange for all internal hospitality
Upkeep of organization and cleanliness of Reception area
Executive Assistant

Managing three executive calendars and their complex time demands
Generating and filing expense reports using Certify
Scheduling meetings while ensuring that all preparations are made prior includes reserving conference rooms, arranging dialing instructions, registering visitors and ensuring all materials are ready for all participants

You have…

1+ year in an administrative support, reception or office management role is preferred
The capability to continuously stand or walk and regularly lift/handle/carry materials or packages of moderate weight (8-50 pounds)
Fluent in Microsoft Office Suite including PowerPoint, Word, Excel and Outlook
Highly professional presentation and verbal and written communication skills
The Ability to perform physical job requirements: Bending, stooping, reaching, twisting, lifting, pushing, pulling and moving items


Bachelor’s degree is preferred
Interest in Office Management career path
An understanding of basic power and hand-held tools
Enjoy sending meme’s in emails to help convey your message J
