In this role, you will…
Provide administrative support to Risk Management and the Litigation Stress Support team, including high-level secretarial support.
Schedule and organize complex activities such as participant assignments, meetings, and schedules.
Establish, develop, maintain and update filing system/data collection for the Litigation Stress Support program.
Draft written responses or reply by phone or e-mail when necessary. Respond to regularly occurring requests for information.
Answer phones for Risk Management and Litigation Stress Support Program and fields/answers all routine and non-routine questions.
Design and type general correspondence, memos, charts, tables, graphs, business plans, etc. Proofread copy for spelling, grammar, and layout, making appropriate changes.
Produce reports from applicable databases as requested.
Provide input into committees/meetings as necessary.
Provide monthly report documenting activities.
Assist with all aspects of Litigation Stress Support Program.
Provide guidelines for physicians and staff regarding structure of the program.
Coordinate activities as required by program with participating physicians.
Maintain records of completion/participation.
Participate in the continuous review and revision of the program.
Provide excellent customer service.
Promote quality customer relations by identifying both internal and external customers; acknowledge customers promptly; and use expressions that convey respect and understanding.
Create a positive impression through effective use of telephone skills such as identification of self and department, listening attentively, personalizing the conversation and verifying information.
Act as a liaison with other departments and outside relationships, including high-level staff such as Presidents, Vice Presidents and Board Members. Handles confidential and non-routine information and explains policies when necessary.
Enhance professional growth and development.
Establish and maintain a good rapport and professional working relationship with the PLICO employees, insured physicians, and professional contacts.
Perform and complete special assignments in a timely accurate and organized manner.
Work independently and within a team on special nonrecurring and ongoing projects.
Demonstrate responsibility to others by timely and competent follow up on matters requiring additional attention.
We are looking for candidates with…
At least one year completed of Bachelor's degree in Risk Management or related field (must be an active student).
Knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 1+ years related experience.
Knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.
High level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
Some analytical ability to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
Continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
Ability to work year round at Oklahoma City, OK location.
