CPCS is seeking two part-time Receptionists to work in the agency's administrative office in downtown Boston, welcoming visitors, answering incoming phone calls, and processing daily mail deliveries.

AGENCY OVERVIEW

The Committee for Public Counsel Services (CPCS) is the state agency in Massachusetts responsible for providing legal services to indigent persons in criminal and civil matters in which the law requires the appointment of counsel for any person who cannot afford to retain counsel. The agency provides representation in criminal, delinquency, youth offender, child welfare, mental health, sexually dangerous person and sex offender registry cases, as well as appeals and post-conviction cases related to those matters.

POSITION OVERVIEW

The Receptionists are key employees for the agency’s Administrative Office, welcoming visitors and notifying employees of visitor arrivals. The Receptionists also answer, screen, and forward incoming telephone calls to the appropriate employee or department as well as receiving, sorting, and distributing daily mail and deliveries.

CPCS is seeking two part-time receptionists. Each position will be required to work 20 hours per week, however the schedule is flexible in regards to days and hours of work so long as there is full coverage of the Receptionist desk. The Receptionist positions will be eligible for full benefits including health, dental, and vision insurance. The Receptionist area must be open from 8:30AM – 5:00 PM, Monday through Friday (excluding holidays).

The ideal candidates will have the understanding that this is a highly visible position and will possess the professional attitude, personality and integrity to deal with clients, visitors and agency staff at all levels. These people must believe in strong customer service and act with professionalism and responsiveness in all situations. They will accept full accountability for ensuring that the Reception area is opened and closed daily in a timely manner.

RESPONSIBILITIES

The responsibilities for this position include the following:
Serves CPCS’ visitors by greeting, welcoming, and directing them as necessary;
Notifies agency personnel of visitor arrivals;
Handles queries from the public and clients in-person and by phone;
Answers, screens and forwards incoming telephone calls to CPCS central office to appropriate departments or outside legal assistance providers or agencies;
Maintains professional demeanor and boundaries at all times in following agency policy concerning collect calls from incarcerated clients;
Ensures reception area and mail station is tidy and presentable, with all necessary updated materials and/or supplies;
Receives, sorts and distributes daily mail/deliveries for Boston office; as well as posts outgoing mail;
Monitors visitor access and maintains security awareness;
Controls supply inventory relevant to reception and mail areas;
Updates mail labels in accordance with staff arrivals and departures;
Performs other clerical receptionist duties such as scanning, electronic filing, and photocopying, as well as new GCL NAC entries; and,
Other duties as assigned.

Qualifications

MINIMUM ENTRANCE REQUIREMENTS

High school diploma or equivalency required.
QUALIFICATIONS/SKILLS

At least two years of experience as a receptionist or secretary preferred;
The ideal candidate should have a professional phone manner and the ability to effectively interact with the general public as well as with all levels within the organization;
Promptness and reliability essential;
Strong organizational and detail skills necessary;
Bi-lingual skills (Spanish) highly desirable; and,
Experience with Microsoft Word and Outlook also desirable.
