TEMPORARY Administrative Assistant at Mental Health Clinic

This is a temporary position while the Clinic Manager is on maternity leave. Our current Administrative Assistant will be taking on higher level responsibilities of the Clinic Manager while she is gone, and we need someone to do the Administrative Assistant tasks during this time. This temporary position will be from September 17, 2018 through January 18, 2019. This position will be Tuesday, Wednesday, and Thursday from 10 AM-5:30 PM.

POSITION TITLE: TEMPORARY Administrative Assistant/Clinic Receptionist

REPORTS TO: Clinic Manager and Current Administrative Assistant

GENERAL DESCRIPTION: The administrative assistant assists the clinic manager in the administrative operations of the Center or other tasks assigned by the clinic manager.

EXAMPLES OF WORK:

  • Welcoming and orienting new clients to the Center
  • Answering the phone and responding to routine inquiries about the Center or directing the call to the appropriate person
  • Scheduling appointments and assisting new clients with forms
  • Typing/word-processing for staff as assigned
  • Maintaining files and records
  • Assisting clinic manager with insurance tasks
  • Verifying client insurance eligibility
  • Posting insurance payments
  • Helping maintain the physical appearance of the office
  • Verifying client demographic information is up to date
  • Currently a majority of the job will be to collect client payments
  • This includes collecting from everyone that comes in for an appointment
  • Calling clients with past due balances
  • Tracking insurance authorizations
  • Many other tasks as assigned by the Clinic Manager and Current Administrative Assistant

EXPERIENCE AND QUALIFICATIONS:

  • Candidate must not have been a previous client of the Center or any of their immediate family members.
  • Computer experience is a MUST. Almost everything we do is on the computer and must be very familiar with Microsoft Word and using web based programs, including email.
  • Skill in word processing, data entry, language use, and spelling.
  • Customer Service skills in a professional environment.
  • Ability to deal professionally and effectively with the public.
  • Ability to deal with a diversity of people in many types of crisis situations, make appropriate assessments and referrals, and recognize one's own limitations.
  • Ability to maintain confidentiality and understand HIPAA.
  • Attention to detail is a requirement for this job.
  • Ability to multitask and be productive.
  • Ability to work independently.
