The Executive Assistant serves as the primary point of contact and liaison between the Chief Executive Officer (CEO) and staff members, business and industry contacts, regional leaders, government officials and community organization stakeholders. The Senior Executive Assistant takes all actions to ensure the smooth operation of the CEO’s office. The ideal candidate is a motivated, meticulous, and organized individual with a high level of integrity that will thrive in this fast-paced opportunity.
DUTIES & RESPONSIBILITIES:
Manage calendar, schedule appointments, and prepare daily schedule
Make travel and lodging arrangements for business functions
Establish accounting record keeping systems, and procedures for tracking and reporting (i.e. keeping track of receipts)
Reconcile personal and business credit cards and prepare corporate expense reports
Assist with event planning for business, personal, social, and philanthropic gatherings
Screen and respond to phone calls, letters, and emails
Procure equipment, supplies, and services, as needed
Act as the liaison between CEO and staff members
Maintain a well-organized digital filing system
SKILLS & EXPERIENCE:
4-year Accredited College/University degree or equivalent, further education preferred
Minimum 5 years of experience supporting senior-level executives
Time management skills with the ability to multi-task with a sense of urgency, balance and prioritize tasks
Travel and event planning experience; calendar management skills
Ability to handle sensitive and confidential information
Strong attention to detail, accuracy, problem-solving and decision-making ability
Extensive knowledge of computers and Microsoft Office Suite (Word, Excel, Outlook, Power Point)
Knowledge of administrative and clerical procedures and the tracking of systems and data, managing files and records, designing forms, etc.
Written and verbal communication skills
