About the Role

Fashion Nova is on the hunt for an amazing Executive Assistant. This role will provide executive support in a one-on-one working relationship with the Head of HR and potentially other C level Executives, serving as the primary point of contact for internal and external constituencies, on all matters pertaining to the essentials of the HR office. Other duties may be assigned, but expertly (efficiently and effectively) manages sensitive and confidential information and situations will be critical.

What You'll Do

  • Serves as the main resource and key liaison for the Head of HR; serving as a gatekeeper to everything entering and exiting the office
  • Commits to long hours of work when necessary to reach goals
  • Uses advanced knowledge and technical skills in social media and fashion, as well as relevant computer applications and programs
  • Uses authority appropriately to accomplish goals
  • Understands business implications of decisions
  • Aligns work with strategic goals
  • Contributes to profits and revenue; conserves organizational resources
  • Demonstrates strong customer (internal/external) service skills and ability to manage professional and interpersonal relationships well
  • Liaises with departments across the company to expedite requests and troubleshoot problems and prioritizes demands between teams with grace
  • Uses experience and intuition to prioritize in real time, while often working under time pressures, to handle a wide variety of activities, deadlines, and confidential matters with discretion
  • Expertly manages multiple projects and competing deadlines
  • Ensures that the expense reports and membership invoices are processed regularly and accurately
  • Manages calendars
  • Drafts and prepares meeting agendas, briefing notes and corresponding materials for conferences, meetings, and events
  • Arranges for conferences, meetings, and events, including travel plans
  • Receives, reviews and coordinates action of incoming mail
  • Responds to information requests on behalf of the HR office
  • Answers telephone calls and other electronic communications, determine priorities, prepare responses, and/or responds in an appropriate and timely fashion
  • Effectively adapts to various competing demands, and able to deal with frequent change, delays, or unexpected events
  • Highly organized
What You'll Bring

  • Bachelor's Degree – Preferred
  • Four to five years of related experience; or
  • Equivalent combination of education and experience
  • Able to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
  • Able to write reports and business correspondence
  • Able to effectively present information and respond to questions from groups of managers, and vendors
  • Highly effective written and oral communications skills; with consistent application of correct spelling, punctuation, and grammar
  • Spanish fluency; a plus
