The George Washington University School of Medicine and Health Sciences is seeking an energetic self -starter to join the team as an Administrative Associate. This individual will join a fast paced, high energy team and have day to day responsibility for providing administrative support to the office of Resource Management and Operations and assisting with events and meetings hosted by SMHS.

This Administrative Associate position provides enhanced administrative support. The position maintains and reconciles purchasing cards for departmental, institutional or work unit accounts, and coordinates the schedules and maintains calendar(s) for assigned staff, regularly prioritizing and arranging meetings, conferences and appointments. This position assists with budget preparation and composes reports related to status of department budgets or project funding requirements, and ensures compliance with sponsor and federal expenditure guidelines. This position will anticipate and prepares background materials needed, and liaisons with managers to ensure office administration policies, programs, and activities are appropriate for their needs. The Administrative Associate typically plans, prioritizes, and manages maintenance and space activities and upgrades to equipment, facilities, and systems to minimize disruptions to business activities. This position is responsible for the hiring, training, and supervision of temporary staff, and oversees the customer service efforts of the front desk, to include referring constituents and resolving concerns as appropriate. The successful candidate will also support the successful development and implementation of special Resource Management and Operations projects and maintain the department’s website. Additionally, the position is responsible for assisting with the coordination and logistics of all aspects of events (pre-planning, onsite execution and post event wrap up). This includes the scheduling and booking of event space, logistical details such as meeting room setup, coordinating registration/building access, post event surveys and processing of final invoices.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:
Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
