This position assists the City Clerk with the daily management of the City Clerk’s office, providing responsible administrative support to the City Council. The incumbent works according to some procedures but decides how to prioritize tasks; work is reviewed regularly by supervisor.

ESSENTIAL JOB FUNCTIONS:
Assists the City Clerk with the daily operation of the City Clerk’s office;
Provides administrative and clerical support to the City Council;
Assists with the preparation and distribution of Council meeting agendas; attends all Council meetings;
Copies, processes and prepares meeting minutes for permanent retention;
Gathers information and data for meetings and upon the request of City Council, staff and citizens;
Assists with the processing and maintenance of official City Council records, minutes, ordinances and resolutions, etc., ensuring appropriate accessibility to the public;
Performs routine clerical work as required, including but not limited to typing forms, reports and correspondence, copying and filing documents, entering and retrieving computer data, sending and receiving faxes, processing daily mail, assembling materials, ordering office supplies and equipment, etc.;
Answers the telephone; provides accurate information and assistance to callers; forwards calls to appropriate personnel; takes messages as necessary;
Greets and assists office visitors;
Receives and responds to inquiries, requests for assistance from the general public, ensuring compliance with Freedom of Information Act requirements;
Assists with special projects and programs as assigned;
Performs duties of City Clerk as required in his/her absence;
Attends training, meetings, workshops, etc., as required to enhance job knowledge and skills; and
Performs other related duties as assigned.

MINIMUM REQUIREMENTS TO PERFORM WORK:
Bachelor’s degree in secretarial science, office management or closely related field;
Three (3) years of relevant prior experience;
Valid South Carolina Class “D” Driver’s License.

PHYSICAL DEMANDS:
The work is considered sedentary and involves walking or standing some of the time and involves exerting up to 10 pounds of force on a recurring basis, and routine keyboard operations.
