Provide general office support for the Dean, Career & Technical Education and the Dean of Arts & Sciences, including managing his/her meeting schedules. This position will coordinate activities, maintain records and files, compile reports and communicate with various types of people, both inside and outside the College. Must be attentive to details with the ability to exercise good judgement. Duties include but are not limited to: assist with semester schedules; create and maintain decision-support systems using complex spreadsheet data; track project deadlines/timelines including those related to specialized program certification, licensure, and accreditation; assist with contracts and payroll forms; serve as recording secretary for divisional and/or institutional committees; data-entry, mailings, filing and special project support.

This is a full-time position with an hourly wage of $14.77. Benefits include single ($1000 deductible) medical insurance, $50,000 life insurance, and long-term disability, paid sick leave, 5 day’s vacation and participation in IPERS or TIAA retirement plan.

Terms of employment are per bargaining agreement between SCC Board of Trustees and the SCCESA, employment contract and relevant policies and guidelines of the Board of Trustees.

Essential Duties Summary

  • Commitment to the comprehensive community college mission and philosophy.
  • Follow college policies and procedures.
  • Secretarial, clerical, and receptionist duties as assigned by the Dean, Career & Technical Education and the dean of Arts & Sciences, including answering the telephone, mail distribution, greeting visitors, and scheduling appointments.
  • Assist Dean of Career and Technical Education and the Dean of Arts and Sciences with collecting and collating semester schedules, scheduling of observations/evaluations, staffing assignments, payroll reports, and other documents as assigned.
  • Prepare and maintain divisional budgets. Collect and maintain documentation for various Career and Technical Education processes such as internships and special project courses.
  • Serve as recording secretary for divisional and/or institutional committees as assigned by the Dean of career and Technical Education and the Dean of Arts and Sciences.
  • Assist the Deans of Career and Technical Education and Arts and Sciences to support processes through data-entry; mailings; filings; preparation, ordering and distribution of materials including but not limited to purchasing, travel/field tips, grants, faculty leave, contracts/hiring/payroll, meetings, and program review.
  • Conduct research relevant to routine responsibilities and assigned tasks.

  • Serve as backup for Administrative Assistant for Academic Affairs and library staff.

Required Qualifications

  • High School diploma or equivalent required.
Qualifications and Experience:
  • Three (3) years work experience required, to include office, secretarial, computer, or business-related duties.
  • Excellent interpersonal and communication skills, including telephone etiquette appropriate for a professional workplace.
  • Adept in the use of productivity software applications equivalent to Microsoft Office, with fluency in Word, Excel, and outlook; ability to learn and develop competency in SCC’s content management system (Omni Update) and administrative software (Ellucian).
  • Keyboarding proficiency and accuracy in proofreading required.
  • Ability to:

  • Maintain strict confidentiality.
  • Work well under pressure, manage multiple tasks, prioritize and complete in a timely manner.

  • Maintain a professional and courteous demeanor while effectively dealing with varied and stressful situations.
  • Valid driver’s license.
  • Must have the ability and mobility to serve a rural service area; some travel within the SDR 16 required. Occasional evening work required.
Preferred Qualifications

  • AA/AAS preferred.
  • Experience working in an institution of higher education strongly preferred.
  • Understanding of SCC’s credit and non-credit curricula and operations preferred.
